This position is located in the Emergency Medicine Services Branch of the Shiprock Service Unit. The position serves as secretary and personal assistant responsible for performing a variety of clerical and administrative duties in connection with the management of the office. Position reports to Chief of Emergency Medicine.

Duties

Responsible for the organization of the Chiefs office, activities, and time. Receives calls and records data. Maintains calendar and schedules appointments, Orders and stocks office and other supplies. Maintains office files of correspondence, regulations, policies, supplies, and clinical matters. Serves as timekeeper for ED medical staff and assigned personnel. Keeps time records for contractors and submits records for payment. Manages payment to locum companies for physician services calculating hours to be worked, lodging, and travel expense; receiving invoices and checking hours billed, hourly rate, dates of service. Keeps record of Emergency Department funds obligated and actually spent. Enters acquisition information in the finance system. Ensures requisition and purchase orders for contractors are completed in an accurate and timely manner. Arranges for travel via GovTrip platform for staff, training and recruiting activities. Determines needs for orientation of new clinicians and insures paperwork and orientation are properly done. Assists with the development of automated data entry and collection capabilities. Receives and routes mail appropriately Cross-covers secretarial duties for the Clinical Director and Ambulatory Care Director when needed, Provides direction or refers guests and employees to the appropriate office.

Qualifications

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. BASIC REQUIREMENT(S): GS-06 Grade Level: Candidates must have one (1) year of specialized experience equivalent to the GS-05 grade level. In addition to the Basic Requirements, you must also meet the Minimum Qualifications stated below. MINIMUM QUALIFICATIONS: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Examples include: Performing a full range of administrative duties, operating office automation equipment and software. Experience in creating and managing databases, spreadsheets, graphics word processing documents; communicating effectively and interacting with a wide variety of individuals within and outside the organization and receives and answers routine telephone inquiries. Preparing and processing a variety of documents associated with travel and timekeeping. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement.
