This position is located in the Jesse Brown VA Medical Center, providing secretarial and administrative support to the Medicine Service. The purpose of this position is to perform routine administrative and miscellaneous clerical work for the daily function of the Chief of Medicine.
Duties
The duties include but are not limited to the following:
Send notices of all service and section meetings via e-mail
Performs all requested tasks of the service chief, section chiefs, and nurse associate
Types and faxes all reviews, manuscripts, and correspondence of the Service Chief
Receives calls, greets visitors and directs to staff members only those contacts needing their attention or action
Takes care of routine matters and on the basis of knowledge of the programs or operations,
and refers other inquires to appropriate personnel
Incumbent personally responds to routine and non-technical requests for information; such as status of reports, duty status of office personnel, suspense date for matters requiring compliance and tracking controlled correspondence
Conducts telephone and fax correspondence of the service chief with appropriate parties outside the VAMC and CBOC's in an efficient and accurate manner
Incumbent takes responsibility for tracking and communicating peer reviews completed by the medical service provider staff
The employee is responsible for assisting in the requests for new AD access and NT codes, along with re-activating, resetting, deleting, or adding certain items to the menus for students, interns, residents, fellows, and attending physicians
Transcribes assignments and meetings when requested by service or section chiefs
Incumbent will have timekeeping duties and will complete timecards and all subsequent issues or corrects by the due date indicated by payroll
Sorts mail daily and delivers to the Service Chiefs office/mailbox
Additional duties as requested by office co-workers and medical service employees
Demonstrates ability to appropriately and courteously relate to internal and external customers and maintains patient and employee confidentiality
Requisition supplies from Jesse Brown VA Medical Center sources in administrative support of the Medical Service.
Work Schedule: 8:00 am - 4:30 pm Monday- Friday
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/05/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Proficiency Requirement: Must be able to type 40 words per minute.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: sending notices of all service and section meetings via e-mail; performed all requested tasks of the service; types and faxes all reviews, manuscripts, and correspondence; transcribe assignments and meetings; Prepare travel request; answering and directing phone calls; receiving visitors; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks; scheduling and managing a calendar of appointments. At this grade level, applicants should have good verbal and written communication skills and the ability to perform assignments independently with minimal oversight.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is predominantly sedentary, with extended periods of sitting while operating a personal computer. Substantial standing and walking are required when using facsimile and photocopy machines, as well as the ability to bend, squat, reach, lift, and carry light files.
