This position is the Program Support Assistant (PSA) assigned to the Quality and Patient Safety (Q&PS) Department at the VA Pittsburgh Healthcare System (VAPHS) and reports to the Director of Quality and Patient Safety.
Duties
Duties of the Program Support Assistant include but are not limited to the following:
Provides administrative and technical assistance to the day-to-day operations, program planning, and completes special projects as assigned.
Responsible for independently recognizing and resolving administrative issues on an ongoing basis and is the initial point of contact for all clerical and administrative responsibilities of all Q&PS programs.
Independently identifies, restructures, and recommends ways of eliminating, combining, simplifying, or improving administrative and clerical office procedures and processes with attention to solutions that reduce waste using various technology and software applications.
Prepares, composes, or reviews correspondence on behalf of Q&PS.
Responsible for timekeeping, key inventory, PIV sponsoring, maintaining office automation systems, specialized technologic and software applications, and providing technical and procedural support of program administration for Q&PS.
Serves as the ADPAC assisting staff in obtaining computer access necessary for menu/security keys.
Coordinates all travel and education development fund requests for assigned Q&PS program areas.
Assists with the onboarding of new Q&PS staff, including the procurement of equipment, submitting access requests, scheduling orientation meetings, and training on administrative policies.
Develops and maintains effective office systems, procedures and communications and makes necessary changes to ensure optimal efficiency and accuracy.
Work Schedule: Monday through Friday; 7:00am to 3:30pm

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:
Experience with computers, software applications, databases and automated systems to accomplish work.
Strong oral and written communications and customer service skills.
Provides clerical and administrative support to a variety of programs (coordinating schedules; preparing of meeting minutes, timekeeping, ordering supplies, timekeeping, travel arrangements, etc.).
Ability to collect and compile data for tracking and to develop and establish policies and procedures.

There is no educational substitution for the GS-06 level.
