The incumbent serves as the Program Support Assistant for the Whole Health Program under the supervision of the Program Manager of Whole Health Department. This position provides administrative support to the Medical Director, the Program Manager and the Evaluation Specialist aligned to the Whole Health Program.

Duties

The duties of the Program Support Clerk include but are not limited to the following: Receives and screens visitors and telephone calls. Provides information within standard office procedure, generally pertaining to any of the duty areas herein described, and within caller's "need to know". Receives and reviews incoming correspondence. Incumbent personally responds to routine and nontechnical requests for information such as status of reports, suspense dates for matters requiring compliance, and similar information readily available from the files. Reviews documents prepared for signature of or requiring coordination by management for appropriate tone. Returns inadequate communications to originator for correction when not in conformance with known policies, or when correspondence regulations have not been followed. Uses various functions of several types of office automation systems such as word processing, databases, and graphic software. Uses electronic mail to transmit and receive messages. Responsible for proper spelling, grammar, format, and arrangement of materials. Reads and processes incoming correspondence and material. Compiles information for and prepares a variety of recurring and one-of-a-kind detailed reports and documents using a variety of computer software. Assists supervisor and subordinates in the procedural aspects of expediting the work of the office by explaining reporting requirements, arranging for submission of data to be assembled by incumbent in general reports. Utilizes office automation equipment to prepare correspondence, documents and reports. Track overtime and comp time. Enter tours of duty each pay period. Daily postings and clearance of exceptions. Performs other related duties as assigned. Work Schedule: Monday - Friday, 7-3:30pm. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/25/2024. GS-05 grade level: One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Receives and screens visitors and phone calls Receives and reviews incoming correspondence Assists in data collection Familiar with automation systems such as word processing, databases, and graphic software. Familiar with timekeeping process Or, GS-05: Education (TRANSCRIPTS REQUIRED): Do you possess Four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. Or, GS-05: Combination of Education and Experience (TRANSCRIPTS REQUIED): Do you possess a combination of successfully completed education and experience to meet the total experience requirements. (i.e. 6 months of specialized experience and 3 years of education above the high school level). NOTE: Only education beyond the second year can be used in combination with specialized experience to qualify for this grade. To calculate, first identify the percentage of required education you have earned (when substituting, you cannot use the first 60 semester hours that you earned). Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-05. For example, an applicant who has 9 semester hours of graduate level education (i.e. 50% of graduate education required) and 6 months of creditable specialized experience (i.e. 50% of the required experience) would equal 100% of the required experience for the position A transcript must be submitted with your application if you are basing all or part of your qualifications on education. You will receive credit for all qualifying experience, including volunteer experience. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: This work is primarily sedentary, requiring sitting, walking, bending, and carrying light items such as books, papers, and files. Long periods of typing may be required as well as working with frequent interruptions in a noisy and hectic office frequented by numerous telephone calls and visitors.
