The primary purpose of this position is to carry out the Child and Youth Services Programs' clerical, administrative, and building maintenance responsibilities. Answers and handles phone calls and welcomes guests. oversees daily financial reports, paperwork, supplies, and records. use a variety of office automation software features to generate a broad range of papers.
Duties
Gathers and summarizes information from files and documents for supervisors or other staff members use in responding to inquiries
Based on the knowledge of the organization and its programs and operations, refers telephone calls and visitors to appropriate staff or office
Maintains, purges, and disposes of office records/files in accordance with established regulations and procedures
Uses word processing software to create, copy, edit, store, retrieve, and print forms, spreadsheets, funds ledgers, schedules, memos, letters, standardized documents, and lengthy reports

- Employee must pass initial and periodic short notice drug testing. Illegal drug use by employees in sensitive positions presents a clear threat to the mission of the Air Force, national security, and public safety
- Must satisfactorily complete a physical and keep current on all immunizations
- Must have the ability to type a min of 40 WPM. Must upload an authorized proficiency certificate or self-certify proficiency in the assessment tool. NOTE: You will be considered INELIGIBLE if no information is provided concerning typing speed.
- This position is a child care/youth services position and is subject to background checks in accordance with AFI 34-144, Child and Youth Programs
as a condition of employment.
- The work requires some walking, standing, bending, climbing stairs, carrying children and/or moderate lifting of items weighing 15-44 pounds.
- The incumbent works in a child care facility and may be required to rearrange furniture weighing up to 40 pounds
Qualifications
In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions for Miscellaneous Clerk and Assistant Series 0303 located here.
SPECIALIZED EXPERIENCE: I have, or will have within 120 days of the closing date of this announcement, at least one year of specialized experience at the next lower broadband NK-01, equivalent to next lower grade (GS-04) in Federal Service or equivalent in other pay systems. Specialized experience is described as: knowledge of child care programs and procedures related to Child Development and Youth operations; knowledge of the organizational functions and services to answer inquiries or refer to the responsible staff member; knowledge of administrative policies or regulations to maintain files or records and perform clerical assignments; knowledge of duties, priorities, commitments, policies, and program goals of the organization sufficient to perform non-routine assignments, such as independently noting and following up on commitments made at meetings/conferences, advising others on preparing correspondence, requirements for various reports, and interpreting new instructions and procedure.

EDUCATION: Four years education successfully completed above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite
KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:
Knowledge of office functions to screen telephone calls and visitors, prepare and review correspondence, and perform other administrative work of the organization.
Knowledge of automated and/or physical filing systems and procedures and the subject matter content of the materials being processed.
Knowledge of format of clerical procedures to arrange a variety of material from different sources.
Knowledge of Child and Youth Services programs and procedures.
Skill in typing, a qualified typist is required.
Ability to locate, assembles, and composes information for routine reports, inquiries, and non-technical correspondence,
Ability to communicate effectively, both orally and in writing, using tact and courtesy.
Ability to plan, organize work, and meet deadlines.
Ability to lead employees in the accomplishment of work assignments.
Ideal Candidate (This will not be used for qualification purposes): Proficient in the use of Tongue and Quill, Microsoft Office, Outlook and Child and Youth Programs Business Management System. Superior Customer Service skills when dealing with in person, phone in and electronic correspondence. Highly organized.
PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
