Extramural Support Assistants (OA) (ESAs) provide administrative support and services to Scientific Review Officers, scientists and other professional staff. ESAs help coordinate the reviews of NIH grant applications making sure NIH grant applications are fairly, expertly and efficiently reviewed. We are looking for motivated ESAs to help accomplish the NIH mission.
Duties
Perform specialized tasks requiring continuing responsibilities for projects, questions, and issues related to the grants functions. Serve as a point of contact and furnish explanations of the regulations and procedures pertaining to the grants function.
Provide non-routine administrative support for the review of grant applications and contract proposals involving a variety of problems and situations.
Review completed work of other clerical staff to ensure that instructions have been followed.
Provide logistical support and coordination for scientific conferences, workshops, and site visits as well as review and other advisory group meetings. Assists with meeting activities on site.
Maintain data in local databases and prepares reports.
Initiate and respond to email, telephone, and letter inquiries and provide requested materials.
Use software functions to produce a wide range of documents that require complex formats such as graphics or tables within text, to edit and reformat electronic drafts, and to update or revise existing databases or spreadsheets.
If you are selected at the GS-5 or GS-6 level, you will essentially perform the same duties as those at the full performance level described above, however, duties are less complex and will be performed under closer supervision with more detailed guidance.
Requirements

Qualifications
To qualify for an Extramural Support Assistant (OA), GS-0303 position at the GS-05 level,
you must have:
1. completed 4 years of education above High School. OR
2. 1 year of specialized experience equivalent to at least the GS-04 level in the Federal service obtained in either the private or public sector, performing the following types of tasks: performing clerical tasks (e.g., processing paperwork, tracking applications); providing administrative support by receiving and screening telephone calls, sorting mail, and filing documents; logging transactional and administrative data using spreadsheets or database software; AND providing logistics services for office staff (e.g., delivering mail, scanning documents, obtaining equipment, shipping files). OR
3.a combination of post high school education and experience that meets 100% of the qualification requirements for this position.
To qualify for an Extramural Support Assistant (OA), GS-0303 position at the GS-06 level, you must have 1 year of specialized experience equivalent to at least the GS-05 level in the Federal service obtained in either the private or public sector, performing the following types of tasks: reviewing documents against the established standard to ensure accuracy/completeness; answering questions from customers and directing inquires to appropriate parties; managing office supplies and equipment and preparing requests for purchases/repairs; maintaining administrative related information using spreadsheets or database soft ware; AND coordinating meeting and travel logistics (e.g., creating itineraries, finding airfare and hotels, identifying meeting locations).
To qualify for an Extramural Support Assistant (OA), GS-0303 position at the GS-07 level, you must have 1 year of specialized experience equivalent to at least the GS-06 level in the Federal service obtained in either the private or public sector, performing the following types of tasks: reviewing grant applications or contracting paperwork to ensure accuracy/completeness; retrieving reports for management from various databases/systems on administrative matters; managing office supplies and equipment and preparing requests for purchases/repairs; using Microsoft Office products (or similar products) to produce correspondence, narrative reports, spreadsheets, and presentations; AND coordinating meeting and travel logistics (e.g., creating itineraries, finding airfare and hotels, identifying meeting locations).
In addition, for all grade levels, you must be able to type at least 40 words per minute with 3 or fewer errors in a 5-minute sample.
You will receive credit for all experience material to the position, including experience gained in religious, civic, welfare, service, and organizational activities, regardless of whether you received pay.
