This position is located in the Health Information Management (HIM) section, Health Care Administration Service, at the Mann-Grandstaff VA Medical Center in Spokane, Washington. The position serves as a Scanning/File Clerk and is responsible for the receipt, intake, scanning, indexing, quality control, destruction, and transfer of health and administration information.
Duties

Major duties and responsibilities include:
Entering data into the medical record for direct and indirect patient care activities such as research, quality management, external peer reviews, and utilization reviews.
Managing the receipt and scanning of documents both internal and external to the medical center such as from physician offices, community-based outpatient clinics, laboratories, Fee Basis Claims System (FBCS), and imaging facilities.
Ensuring that all necessary health and administrative information is integrated into the Computerized Patient Record System (CPRS) through PC scanning hardware, imaging software, and/or vendor software.
Sorting a variety of loose documents daily and scans materials as appropriate.
Making administrative corrections to medical records as needed.
Utilizing a personal computer to retrieve electronic documents and files, performing data entry, composing, editing, transmitting and receiving correspondence.
Responsible for investigating and correcting problems with records received from within the medical center and other facilities, identifying and suggesting solutions to problems with the transferring and receiving of information to or from other VA facilities.
Performing other duties as assigned.
Work Schedule: Monday-Friday, 8:00am to 4:30pm

Qualifications
IN ORDER TO QUALIFY FOR THIS POSITION AT THE GS-4 LEVEL YOU MUST MEET THE FOLLOWING:
GENERAL EXPERIENCE: You must possess one (1) year of general experience that equipped you with the knowledge, skills, and abilities needed to successfully perform the duties of this position. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the knowledge and skills needed to perform the duties of the position to be filled. Note: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment

SUBSTITUTION OF EDUCATION FOR EXPERIENCE: You must have successfully completed two (2) years of education above the high school level in any field. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. (TRANSCRIPT REQUIRED)

COMBINATION OF EXPERIENCE AND EDUCATION: You must possess equivalent combinations of successfully completed post-high school education and experience to meet total qualification requirements at the GS-4 level. (TRANSCRIPT REQUIRED)

Physical Requirements: The work requires long periods of standing, walking, bending, stooping, reaching, pulling, or carrying o flight objects such as files. There is occasional lifting and carrying of such items as record boxes, paper boxes, and bulking files (under 50 pounds). The work is normally performed in an office setting that is adequately heated, lighted, and ventilated.
