The VA Northeast Ohio Healthcare System is recruiting for an Medical Support Assistant (Advanced). The Medical Support Assistant (Advanced) will function in the Physical Medicine and Rehabilitation Service (PM&RS).

Duties

The major duties of the Medical Support Assistant (Advanced) include, but are not limited to: Screen, track and schedule assigned consults and follow-up appointments. Monitor consults accurately, which includes contacting patients within 72 hours after an assigned consult has been received. Cancel consults if there has not been patient contact 10 days after a letter was sent out. Complete clinic cancellation requests. Verify clinic slot usage for future appointments. Capture insurance information, explains issues such as deductibles, co-payments and other matters. Assist the Chief and Therapy Supervisor on the development of Physical Medicine and Rehabilitation brochure and pamphlets. Communicate with physicians, case managers, and other allied health professional staff using sound interpersonal skills and is constantly aware of the sensitive information. Interview veterans applying for benefits, obtain information needed, prepare or update existing records. Ensure current demographic and administrative data is complete. Determine the nature of medical care needs, questions or complaints. Greet veterans and beneficiaries requesting assistance. Qualifications

Basic Requirements: Citizenship: Citizen of the United States. Experience and/or Education: (1) Experience. Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR (2) Education. One year above high school; OR (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: GS-6 Experience. You must possess the required one (1) year of experience equivalent to the GS-05 grade level which includes but not limited to: scheduling, cancelling, re-scheduling patients appointments and/or monitoring both inpatient and outpatient appointments for areas of responsibility, ensuring encounter forms are completed in order to obtain appropriate workload credit, verifying and updating demographics and insurance information, processing all emergency and non-emergency transfers to other VA facilities or private hospitals, performing basic eligibility, and co-pays and preauthorization requirements for specific coverage, etc. Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate ALL of the following KSAs: Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns. Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians. Physical Requirements: The work is primarily sedentary but also requires standing, walking, bending, lifting and carrying light items. The work requires above average agility and dexterity. The work may require assistance in moving or in lifting wheelchair patients, utilizing appropriate safe patient handling equipment (no patient lift).
