The VA Northeast Ohio Healthcare System is recruiting for a Supervisory Medical Support Assistant. The Supervisory Medical Support Assistant will function in Surgical Service.
Duties
Major duties include, but not limited too:
Working collaboratively with interdisciplinary teams from the OR staff which includes surgeons, nurses, SPS employees, EMS employees, attending regular meetings with the section chief(s) and other team members to coordinate patient care.
Supporting the clinics that he/she is responsible for by sorting consults for providers who in turn, triage the consults.
Tracking consults and aiding the processing of the consults to completion.
Providing information to section(s) as to wait times, status and routine concerns and procedures to clinical and supervisory staff.
Ensuring that all outpatient clinic appointments are scheduled in accordance with the business rules outlined in the VHA Directive 2010-027 Outpatient Scheduling Processes and Procedures.
The employee plans and carries out successive steps of work assignments and independently handles scheduling problems and deviations based on personal knowledge of clinic operations and policy, schedules, and providers' preferences.
The incumbent must coordinate efforts to ensure all aspects of duties are accomplished efficiently, timely, and correctly. He/she plans and carries out the day-to-day operation of the office independently utilizing initiative to resolve problems.
First line supervisory responsibilities include setting performance standards, evaluations, initiating action on disciplinary matters, awards, labor relations, approval of leave and work schedules.
Reviews work in progress or upon completion and spot checks work as deemed necessary to assess the quality and quantity of work produced by each employee.
Inform employees of all aspects of personnel programs of the Northeast Ohio VAMC, either answering their questions on such matters or obtaining information from specialists when more technical answers are required.
Evaluates and writes performance appraisals and provides feedback to employee concerning their performance.
Recommends promotions, reassignments, or other status changes of assigned personnel, such as retention or release of probationary employees, step increases, and recognizes outstanding performance by recommending meritorious awards.
Approves or disapproves leave and recommends action in unusual cases.
Work Schedule: Monday through Friday, 8:00am to 4:30pm, variable based on the needs of the service

Qualifications
Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education:
Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR,
One year above high school; OR,
Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
English Language Proficiency: Must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
Grade Determinations: Supervisory Medical Support Assistant GS-08
Experience. One year of experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.
In addition to the requirements listed above, candidates must demonstrate the following Knowledge, Skills, and Abilities (KSAs):
Ability to provide the full range of administrative and supervisory duties which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with all healthcare professionals to ensure quality/continuity of care and ensure compliance with established policies and regulations.
Ability to provide briefings, orientations, staff development, and training.
Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

The full performance level of this vacancy is GS-08.
Physical Requirements: The work is typically sedentary and requires long periods of sitting and making and receiving telephone calls. The employee sits comfortably to do the work; however, there may be some walking; standing; bending; carrying of moderately heavy items such as papers, books, small parts or equipment, etc. No special physical demands are required to perform this work.
