These positions are located within the Director's Office of the VA Central Iowa Health Care System. These positions provide full administrative/clerical support for the primary Quadrad member(s) and Administrative Officer (AO). These positions also aid other members of the Executive Management Team as needed.
Duties

This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-08. At the GS-07 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-08. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds.
Duties may include, but are not limited to the following:
Exercises control of calendars such as scheduling and recording appointments, arranging for meeting and small conference administrative details, and following up on action items with appropriate staff members.
Maintains a daily suspense file of items that need attention and assures various reports and suspenses are answered in a timely manner.
Arranges travel as required such as making travel reservations, guaranteeing hotel reservations with credit card, preparing itineraries, submitting necessary registration forms, and preparing necessary paperwork.
Provides support work such as collection, compilation, research, and/or tracking of data and program information.
Takes initiative to compose correspondence, which is both routine and unique in nature, and ensures format accuracy.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, policy, and other forms of written communication.
Establishes and maintains administrative and professional files and is responsible for immediate retrieval of historical data from such files.
Works in conjunction with other office members of the Executive Team and provides back-up coverage in the absence of other administrative support staff.
Uses Microsoft software (Word, Excel, spreadsheets, etc.) to complete Office Automation (OA) responsibilities.
Performs other related duties as assigned.
Work Schedule: Monday - Friday, 7:30am - 4:00pm

Qualifications
TO QUALIFY FOR THIS POSITION, APPLICANTS MUST MEET THE FOLLOWING CRITERIA:
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
TO QUALIFY FOR THIS POSITION AT THE GS-07 LEVEL, APPLICANTS MUST MEET THE FOLLOWING CRITERIA:
SPECIALIZED EXPERIENCE GS-07: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-06) in the federal service that has given you the particular knowledge, skills and abilities required to successfully perform the duties of a Secretary (Office Automation) position. To be creditable, specialized experience must have been equivalent to at least the GS-06 grade level in Federal Service. Specialized experience for this position includes providing administrative support; scheduling and coordinating meetings and conferences; making travel arrangements; collecting, compiling, and tracking data; composing correspondence, reports, memoranda, and other forms of written communication ensuring format accuracy (e.g., grammar, punctuation, spelling, attachments, etc.); and utilizing computer databases and various Microsoft software (Word, Excel, spreadsheets, etc.) to complete office automation responsibilities.
NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. A full year of work is considered to be 35-40 hours of work per week.
TO QUALIFY FOR THIS POSITION AT THE GS-08 LEVEL, APPLICANTS MUST MEET THE FOLLOWING CRITERIA:

Specialized experience for this position includes providing administrative support for an Executive/Director/CEO (or similar upper management echelon); scheduling and coordinating meetings and conferences; making travel arrangements; collecting, compiling, and tracking data; composing correspondence, reports, memoranda, and other forms of written communication ensuring format accuracy (e.g., grammar, punctuation, spelling, attachments, etc.); and utilizing computer databases and various Microsoft software (Word, Excel, spreadsheets, etc.) to complete office automation responsibilities.
