This position is located within the Director's Office of the VA Central Iowa Health Care System (VACIHCS). The Secretary (OA) provides full administrative/clerical support for the primary Quadrad member(s) and Administrative Officer (AO). This position also aids other members of the Executive Management Team as needed.
Duties
Duties include:
Exercises control of calendars for the primary Quad member and AO such as scheduling and recording appointments, arranging for meeting and small conference administrative details, and following up on action items with appropriate staff members independently.
Provides program support functions for councils, committees, and other agency programs as assigned.
Collects, compiles, researches, and/or tracks data and program information.
Screens calls and visitors to the Executive Office, determining which can be handled personally, which should be referred to the Administrative Officer, and which should be directed elsewhere.
Composes correspondence, which is both routine (following samples of previous, similar correspondence) and unique in nature (composed from facts gathered, personal knowledge, verbal communications, and sometimes vague documentation).
Establishes and maintains the primary Quad member's personal file of correspondence and documents concerning special programs and projects, subordinate personnel, investigations and/or problems regarding patients, employees, training, etc.
Maintains time and attendance records.
Utilizes office automation equipment to fulfill the duties of the job.
Performs other duties as assigned.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday-Friday, 7:30am to 4:00pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/17/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Proficiency Requirements: Applicants must meet the proficiency of 40 words per minute typing speed.

GS-07:
Specialized Experience: You must possess at least one (1) year of specialized experience that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of this position, and that is typically in or related to the work of this position. To be creditable, experience must have been equivalent the next lower grade level (GS-6) in the Federal service. Examples of specialized experience would typically include, but are not limited to: providing administrative support; collecting, compiling, and/or tracking of data to support a program; composing and formatting a variety of letters and memorandums; establishing, updating, and maintaining office files and records; scheduling appointments; answering and directing phone calls; receiving visitors.
GS-08:
Specialized Experience: You must possess at least one (1) year of specialized experience that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of this position, and that is typically in or related to the work of this position. To be creditable, experience must have been equivalent the next lower grade level (GS-7) in the Federal service. Examples of specialized experience would typically include, but are not limited to: providing administrative support; collecting, compiling, and/or tracking of data to support a program; composing and formatting a variety of letters and memorandums; answering staff questions and providing information necessary to complete work assignments; establishing, updating, and maintaining office files and records; assisting others with locating documents and references to ensure work assignments are completed and align with policy requirements; scheduling appointments and arranging meetings for staff; performing timekeeping duties; answering and directing phone calls; receiving visitors.
