This position serves as the Staff Support Assistant providing a range of research, technical, and administrative support services with the Bureau of Indian Affairs, Western Region, Pima Agency, Branch of Fire Management Program, Duty Station in Sacaton, Arizona. Duties

Performs a wide variety of program support functions for the Fire Management Office programs and activities Serves as serves as the point of contact for Fire Management Officer in the coordination of meetings, schedules, conferences, training and other key organizational activities. Type letters, memoranda, narrative reports, agreements, statements into final format for approval, signature and distribution; and maintains office automation correspondence tracking systems. Serve as a timekeeper; and may serve as radio dispatcher when fire personnel are on a fire line. Make travel arrangements and prepare travel authorizations and travel vouchers using an automated travel system. Responsible for financial entering and retrieving of data to and from the automated data processing system or financial management system in relation to budget and finance such as obligations for travel, purchases, and invoices. Order. purchase and maintain office supplies, services and equipment for the Agency office and process supply transactions such as receipt, shipment, and/or adjustment documents. Establish and maintain electronic records management for the program office.

Qualifications

EXPERIENCE AND EDUCATION REQUIREMENTS: (OPM Operating Manual, Qualification Standards for One-Grade Interval Clerical and Administrative Support Positions, GS-0303). GS-6: 1 year of specialized experience equivalent to the GS-5 grade level in the Federal service (obtained in the public or private sector). This experience must include 3 of the 7 activities: 1.) receiving visitors and telephone calls to direct inquiry to appropriate personnel; 2.) maintaining activity calendar, organizing conferences, meetings and training sessions; 3.) proficient in utilizing Microsoft Office to generate correspondence, electronic forms, spreadsheets and other electronic tracking records; 4.) monitors suspense dates for program related material, inquiries and projects to ensure completion by established due dates; 5.) coordinating travel arrangements and processing vouchers; 6.) assisting with budget activities including reconciling charge card transactions, recording data in the automated budget tracking system; 7.) prepares purchase requests for office supplies, equipment or services; 8.) maintaining office filing Systems. GS-7: 1 year of specialized experience equivalent to the GS-6 grade level in the Federal service (obtained in the public or private sector). This experience must include 6 of the 11 activities: 1.) proficiently utilize Microsoft Office programs and other automated systems for creating travel authorizations; 2.) reviewing travel vouchers; 3.) maintaining time and attendance records; 4.) monitoring financial data; 5.) maintaining program budget activities; 6.) charge card transactions; 7.) inventory management; 8.) processing purchase requests and generating reports; 9.) coordinating and compiling program data from various resources for reporting purposes and monitoring multiple tasks, or projects to ensure completion by established due dates; 10.) providing guidance or assisting others with budget support activities, travel regulations, time and attendance procedures, charge card policy, inventory management process, and records management schedules; 11.) review purchase requests to ensure proper formatting forth review and approval process. EDUCATION: Does not apply at this grade level. Proficiency Requirement: In addition to meeting the experience or education requirements, Applicants must also meet the following proficiency:40 words per minute typing speed based on a five-minute sample with three or fewer errors. Applicants must show possession of typing and office automation skills. Applicants may meet the typing requirement by passing the appropriate test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificate by the Office of Personnel Management local office or by self-certifying their proficiency. All qualification requirements must be met by the closing date of this announcement. Merit Promotion candidates must also meet time-in-grade requirements by the announcement closing date. Preference in filling vacancies is given to qualified Indian candidates in accordance with the Indian Preference Act of 1934 (title 25, USC Section 472). Additional selections may be made from this announcement if identical vacancies occur in the same location within 90 days from the closing date.

If you cannot obtain your graduate school's definition of one year of graduate study, 18 semester hours (or 27 quarter hours) should be considered as satisfying the requirement for one year of full-time graduate study.

If you are using education completed in foreign colleges or universities to meet the qualification requirements, you must send a Certificate of Foreign Equivalency with your transcript in order to receive credit for that education which shows the education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in an accredited U.S. education program; or full credit has been given for the courses at a U.S. accredited college or university.
