This position is located within the Phoenix, Tucson, Nevada and Utah Area Youth Regional Treatment Facilities known as Desert Visions Youth Wellness Center and Nevada Skies Youth Wellness Center. serves as the Desert Visions/Nevada Skies Youth Wellness Center Administrative Assistant and
provides administrative, clerical, and technical work in support of budget analysis and general office management for the Chief Executive Officer (CEO)
Duties
Acts with independence in the performance of duties and performs the more difficult office activities, which would otherwise require the attention of the
supervisor or designated administrator. Within this basic structure the incumbent performs the following:
Receives calls, greets visitors and directs staff members to contacts needing their attention or action.
Obtains needed background information before referring calls to the CEO or other administrative staff.
Advises the CEO and/or his/her designee of important office matters arising during his/her absence and brings his/her attention
of significant items in reports, files, and correspondence.
Maintains the appointment schedule for the CEO by making final commitments, referring matters to staff members when appropriate, and advising the supervisor of appointments and other commitments which might have a bearing on future decisions.
Arranges travel for the CEO and other staff, arranges schedule of visits, secures travel and hotel reservations, and prepares travel vouchers for staff members of Desert Visions and Nevada Skies Youth Wellness Centers.
Performs a variety of office support services and resolves complex problems, such as telephone services, photocopying faxing, shredding, filing, maintaining office supplies, inventories, tracking & coordinating general building service calls/requests, assists with office moves, closely monitors and ensures that property is inventoried and decaled, maintaining storage rooms, conference room scheduling
Serves as the Training Coordinator for Desert Visions and Nevada Skies Youth Wellness Centers.
Maintains records of classified position descriptions and secondary personnel files on each employee for ready reference by the supervisor and administrative officer.
Prepares and maintains payroll for the DV/NS YWC staff utilizing the Integrated Time and Attendance System (ITAS) and coordinates with the Phoenix Area Office on payroll issues.
Qualifications

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
BASIC REQUIREMENT(S):
The following shows the amounts of education and/or experience required to qualify for this position:
GS-06: One (1) year of specialized experience equivalent to at least the GS-05 grade level.
GS-07: One (1) year of specialized experience equivalent to at least the GS-06 grade level. Specialized Experience-Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled.
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks:
GS-06: Manage and maintain staff schedules; knowledge in making arrangements for travel, meetings, or conference calls; prepare office correspondence.
GS-07: Experience in arranging travel, making hotel arrangements, and preparing travel vouchers; extensive knowledge of records management and timekeeping policies and guidelines; prepare agendas for and conduct periodic secretarial training sessions; arrange and schedule meeting logistics for conferences.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
