The primary purpose of this position is: To serve as the principal office manager, performing various administrative and clerical duties as Management Assistant in support of the 637 International Support Squadron Commander. The Commander has overall management responsibility for the function and activities of the unit.

Duties

Directly supports the Squadron Commander (Unit Commander, Director or Squadron Section Commander) and first sergeants in the office management of all administrative support program functions. Assists the Squadron Commander in accomplishing all necessary internal operations to include administrative training, security, and development of organizational operating instructions and regulations. Administers processes and activities to support squadron communications, including correspondence preparation, distribution, suspense tracking, workflow management, electronic mail management, content management, and other related duties. Composes and prepares spreadsheet's, tables, and databases in correspondence for routine and nonroutine, nontechnical requests for information. Responsible for Commanders programs to include but not limited to task management, (e.g., Defense Travel System (DTS), timekeeping, Electronic Records Management (ERM). Performs other clerical and administrative work in support of the office/organization Maintains Commander's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences. Uses varied and advanced functions of office automation software (e.g. word processing, spreadsheet, and presentation software) to create, format, modify, edit, and print a variety of letters, reports, memos, spreadsheets, presentations, and other textual and graphic documents. Uses advanced functions of word processing software to generate tables of contents, import graphs or databases, create glossaries, and align multiple columns.

  • The incumbent must have the ability to type a minimum of 40 WPM.

Qualifications

In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-05, or equivalent in other pay systems. Examples of specialized experience includes using various office automation software processing procedures and function keys to produce a wide range of documents that often require complex formats, such as graphics or tables within text, to edit and reformat electronic drafts, and to update and revise existing databases or spreadsheets. Additionally, skill in reviewing proposed directives to ensure proper arrangement of material, consistency with existing directives, and proper distribution. Review existing directives to detect and eliminate conflict, overlap, and duplication and ensure only current material is retained. Devise ways to improve directives by simplifying, consolidating, or eliminating them. Discuss recommendations for changes with the using offices in order to gain concurrence. FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in­-grade requirements to be considered eligible. One year at the GS-05 level is required to meet the time-in-grade requirements for the GS-06 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Knowledge of methods and techniques of fact-finding, analysis and resolution of complex problems and development of concrete action plans to address problems. To include adherence and extensive research of AFIs, DoD directives, and U. S. Codes. Knowledge of extensive rules, procedures, or operations applied to administrative and clerical assignments to perform the procedural and administrative work of the office, such as preparing and editing documents; maintaining files and records, preparing travel arrangements; and locating, assembling, and composing information for various reports, inquiries and nontechnical correspondence. Knowledge of DoD, AF, AETC, and local instructions, policies, procedures, and guidance pertaining to publications, forms, recordkeeping, mail distribution, and handling of classified information. Knowledge of correct grammar, spelling, punctuation, capitalization, and formats to accurately prepare and edit written correspondence and reports. Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, presentations, and graphs. Ability to recognize and analyze problems, conduct research, apply results, and make appropriate recommendations. Ability to locate, assemble, and compose information for routine reports, inquiries, and nontechnical correspondence; communicate effectively, both orally and in writing; and, plan, organize work, and meet deadlines. Skill in applying analytical and evaluative techniques to the identification, consideration, and resolution of issues or problems of a procedural or factual nature. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. ou will receive credit for all qualifying experience, including volunteer experience.
