Incumbent provides comprehensive technical support of the ITS (Instrument Tracking System). Assists in the orientation and training, for the Sterile Processing Department personnel of the ITS. Assists in the efforts for the continuous performance improvement of provided services to ensure the goals of excellence in clinical outcomes and customer satisfaction.
Duties
Major duties include, but are not limited to the following:
Provides comprehensive technical support of the ITS (Instrument Tracking System). Assists in the orientation and training, for the Sterile Processing Department personnel of the ITS.
Assists in the efforts for the continuous performance improvement of provided services to ensure the goals of excellence in clinical outcomes and customer satisfaction.
Creates new employee profile in ITS according to job position, paying particular attention to the features and access levels needed for the appropriate position. Assist in formulating and communicating policies and procedures for the ITS.
Assist staff in the proper use and utilization of the tracking system to provide sterile instruments and supplies in an efficient, accurate, and professional manner to all it's customers.
Plan and directs the daily workings of the tracking system and have a thorough understanding of the building, maintaining, and development of the product for the facility.
Collaborates and communicates the objectives of the system, give specific instruction, and prioritize assignments according to departmental policy and procedure, and guidance from Sterile Processing Manager.
Receives, researches, and plans the implementation of new product releases that become available. Ensures continued utilization of the ITS features for consistency in the return on investment.
Acts as a liaison with the tracking systems' support services, and contract software vendor. Is the administrator for all hardware, software, and accessory equipment needed to operate efficient tracking systems.
Demonstrates a thorough knowledge of the goals and function of Sterile Processing, and the role of an effective tracking system contributes to a successful department.
Uses knowledge to demonstrate excellent customer services to internal or external customers. Develops and reviews policies and procedures that impact the IMS.
Presents improvements of the system to the Management and seeks approvals for changing SOPs. Recommend amendments for procedures as new technology creates change.
Performs data entry for new instrument sets, equipment, and procedural trays and temperature monitoring. Uses a consistent format and naming nomenclature for instrumentation and containers.
Tracks additions, modifications and deletions made to instrument set count sheets. Changes should be trended to see who is requesting the change, the reason for the change, and if there are any repetitions over time.
Assists in the development of a disaster plan downtime procedures for the IMS/TMS, sterilization equipment, and other systems related to the data that is captured in the tracking system.
Run routine administrative reports and provide to the Chief and Assistant Chief SPS and the Reusable Medical equipment Coordinator, relating to new users added to the system, changes in access level for current user; Date of last log on; Unsuccessful log on attempts (identifying potential for PW hacking or use of another's profile).
Assists in developing staff competencies for the effective and proper use of the tracking system Serves as department hardware/software support representative by identifying department needs and by ensuring highest level of performance.
Works with Facility IT and Biomed to create a middle layer of troubleshooting administration unless hardware related. Works with Censis Technologies, Inc in troubleshooting documentation issues or system performance issues. Attend the CtUC annual conferences as budget allows.

Qualifications

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
English Language Proficiency: MSTs must be proficient in spoken and written English in accordance with chapter 3, section A, paragraph 3j, this part.
Experience and/or Education:
Experience: Six months of experience that demonstrates the applicant's ability to perform the work or provides an understanding of the work; or
Creditable Experience
Knowledge of Current MST Practices. To be creditable, the experience must have demonstrated the knowledge, skills, and abilities (KSAs) associated with MST responsibilities. Experience satisfying this requirement may be paid/non-paid employment as a MST.
Quality of Experience. Qualifying experience must be at a level comparable to MST experience at the next lower grade level of the position being filled. For all assignments above the full performance level, the higher level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time.
Part-Time Experience. Part-time experience as a MST is creditable according to its relationship to the full-time workweek. For example, a MST employed 20 hours a week, or on a 1/2-time basis, would receive 1 full-time workweek of credit for each 2 weeks of service.
Education: One year above high school that included at least 6 semester hours in health care related courses such as sterile processing, nursing assistant, hospital corpsman, and operating room and surgical technician courses or other courses related to the position; or
Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
Grade Determinations:
GS-8 Lead Medical Supply Technician (Sterile Processing):
Experience: One year of specialized experience equivalent to the next lower grade level (GS-7). GS-7 Level experience includes: Ability to instruct staff on the correct procedures and protocols for completing assignments. Skill in communicating with staff to ensure compliance with written directives, rules, and regulations. Skill in interpersonal relationships in dealing with employees, team leaders, and managers. Knowledge of sterility principles in order to instruct staff on decontamination procedures. Ability to lead individuals, manage priorities, and scheduled work assignments.
Demonstrated Knowledge Skills and Abilities: In addition to meeting the experience above, the candidate must demonstrate the following KSAs:
Ability to read and interpret written procedures and select appropriate action in order to instruct staff in correct procedures and protocols for completing assignments.
Ability to communicate orally and in writing to ensure staff compliance with written directives, rules and regulations.
Skill in interpersonal relationships in dealing with employees, team leaders, and managers.
Knowledge of sterility principles in order to instruct staff on decontamination procedures.
Ability to lead individuals, manage priorities, and schedule work assignments.
