Duties
The Office of Senate Security is seeking an organized, self-motivated, and reliable professional to manage the classified document control system for the U.S. Senate. Work is bound by Executive Branch policies and directives; Secretary of the Senate policies and procedures; the U.S. Senate Handbook; and the Senate Ethics Manual, and requires independent judgment in setting priorities and handling assignments.
ESSENTIAL FUNCTIONS
In an efficient and organized manner, receive a high volume of documents, log them into a document control system and file as appropriate, with strict adherence to standard operating procedure.
Coordinate and correspond with all Senate Offices, Committees, and Commissions when documents are received, generating and sending timely document notices.
Assemble and prepare documents for review by Senators and senior-level staff, aiding with the review as needed.
Conduct internal audits and document accountability management and reporting, in coordination with Department of Defense (DOD), Intelligence Community (IC), and other Executive partner organization policies, procedures, and applicable laws.
Follow processes and procedures in coordination with the Senate Historical Office (including the Senate Archivist) and representatives from Senate offices, committees, and commissions, to archive official correspondence and documents, making accessions to the National Archives and Records Administration’s Center for Legislative Archives.
Maintain organization within the document storage facility at all times.
Maintain current knowledge of the Office of Senate Security’s Emergency Action Plan (EAP) and Continuity of Operations (COOP) plan; participate in periodic exercises and drills. Provide support to COOP programs as needed.
As part of the Secretary’s customer service initiative (known as R.A.T.E.), provide all customers with the highest level of customer service.
Perform other duties as assigned, to include assistance with access control coverage of high-priority events, coordination of secure video teleconferences and secure calls, and personnel security support as needed.

Qualifications
PHYSICAL DEMANDS AND WORKING ENVIRONMENTWork is performed in an office environment with exposure to everyday risks or discomforts and requires the use of normal safety precautions. Work requires frequent walking, standing, bending, and carrying items up to 50 pounds, as well as regular use of typical office equipment, software programs, and methods of communication such as a computer, email, telephone, and photocopier. Work may require flexible hours or changes in schedule, including late night hours. Regular, predictable, and punctual attendance is required for performance of duties. Work also requires physical presence in the office, except as otherwise required by the Office of the Secretary of the Senate.MINIMUM QUALIFICATIONSWork requires a High School Diploma or G.E.D; college degree with background in archiving or library science preferred. In addition, applicant should have 2 to 5 years of experience with a document management system and the following knowledge, skills and abilities:Exemplary attention to detail, highly organized, and efficient.Demonstrated knowledge of security requirements and practices for safeguarding sensitive information.Knowledge of the Senate as an institution.Demonstrated ability to use computer and relevant computer software programs and electronic searches, and ability to use multiple databases simultaneously.Ability to maintain confidentiality of sensitive and classified information.Ability to use tact and diplomacy when dealing with others and provide excellent customer service.Ability to work across functional, organizational, and agency lines.Ability to collect information from various sources and determine its relevance to the Senate environment.Ability to communicate effectively, both orally and in writing. Ability to present relevant material to members of the Senate community, as needed.LICENSES, CERTIFICATIONS, AND OTHER REQUIREMENTSUnited States citizenship required.Active Top Secret security clearance with SCI access highly preferred.Ability to obtain and maintain a Top Secret clearance with SCI and RD while employed.
