This position is located in the Offices of the Chief of Staff (CoS) and Associate Medical Center Director (AMCD) at the Syracuse, NY VA Medical Center. The incumbent serves as Secretary to the Service Line and Chief of Staff's Office.
Duties
Duties include, but are not limited to the duties below:
Incumbent has knowledge of grammar, spelling, and punctuation and required formats to include knowledge of medical terminology.
Skills in the operations of a personal computer and a variety of hardware and software necessary to perform daily office duties (i.e., Microsoft applications such as Word, Excel, PowerPoint, Access, and MS Outlook; transcription equipment; facsimile machine; reproduction equipment; scanning equipment and associated software, complex telephone systems.MS Teams teleconferencing and video-conferencing equipment).
Responsible for coordinating the work of the office with the work of other offices, and for recognizing the need for such coordination in various circumstances including advising secretaries in subordinate organizations concerning such matters as the information to be provided by the subordinate organizations for use in conferences or reports.
Reviews VA Central Office, Congressional, and White House correspondence.
Reviews requests for information or resolve complaints with CoS/AMCD before initiating any solutions.
Manages the Resource Board SharePoint site under the close supervision of the AMCD.
Serves as liaison for the offices of CoS and the AMCD under the guidance of the AMCD and CoS HSS.
Incumbent provides instruction and assistance to Services under the close supervision of the CoS and AMCD.
Reviews requests for information or resolve complaints with CoS/AMCD before initiating any solutions.
Receives and screens all incoming mail, publications, directives, and periodicals for the CoS and AMCD Offices.
Types letters, memoranda, reports, confidential statements, etc., as required by the CoS and AMCD.
Arranges key meetings and serves Recorder for meetings, preparing a final draft of the minutes for approval by either the CoS or AMCD.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/19/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-9 position you must have served 52 weeks at the GS-8. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
GS-7 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Maintaining office systems, procedures, and communication; Receiving and screening incoming or outgoing mail and correspondence; Performing a number of office automation duties using software applications, including excel, word, PowerPoint, Outlook, TEAMS, and VISTA.
GS-8 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-7 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Developing and/or maintaining effective office systems, procedures, and communications; Recommending necessary changes to office process or procedures; receiving and reviewing incoming and outgoing mail, publications, directives, and periodicals; Performing a number of office automation duties using software applications, including excel, word, PowerPoint, Outlook, TEAMS, and VISTA.
GS-9 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-8 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Developing and maintaining effective office systems, procedures, or communications; Receiving and screening incoming and outgoing mail, publications, directives, and periodicals; Gathering and interpreting information; Performing a number of office automation duties using software applications, including excel, word, PowerPoint, Outlook, TEAMS, and VISTA.

Physical Requirements: The work is sedentary. There may be some walking, standing, bending and carrying/traveling with items such as books and/or laptop.
