The Administrative Support Assistant provides a complete range of administrative support which includes customer service and coordination; data analysis and graphing, special program projects, performance measures reporting and compiling data from a variety of databases. The Administrative Support Assistant works under the general supervision of the Anesthesiology Supervisory Health System Specialist.
Duties
The Administrative Support Assistant serves as an advisor and expert to the Anesthesiology Supervisory Health System Specialist and Program Specialist. Advises the Supervisory Health System Specialist on practical and technical aspects of office administration, to include budgeting, purchasing, supply management, personnel administration, data process, patient, and provider scheduling, file management, and performs staff support work in each of these areas.
MAJOR DUTIES AND RESPONSIBILITIES:
Responsible for preparation and submission of monthly or quarterly analytical and interpretive reports as required by the assigned Section, Anesthesia practice, SFVAHCS, The Joint Commission (TJC), or VA Central Office. These include Ongoing Professional Practice Evaluation (OPPE), Focused Professional Practice Evaluation (FPPE) reports, and credentialing files.
Analyzes and troubleshoots scheduling concerns, underutilization of appointments and works to optimize access to his/her assigned Section(s).
Serves as the main contact into her/his assigned Section(s) for consult management and notifies the appropriate person(s) in a timely manner if consult resolution timeframes are not being met.
Serves as the manager of administrative functions for her/his assigned section of Anesthesiology and as backup coverage for all sections as required by the Service.
Responsible for maintaining an optimal level of supplies; this includes initiating action when necessary for the procurement of supplies.
Maintains, and transfer funds between several unrelated appropriated fund accounts and several revolving fund accounts.
Collect data, perform data entry, including but not limited to the scanning images, maintain, and monitor databases, and run monthly periodic reports of the information for her/his Service.
Serves as the Service Level Advocate for patient issues, including helping with follow-up to ensure a satisfactory resolution.
Work Schedule: Monday- Friday, 8:00am- 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/16/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Knowledge of the duties, priorities, commitments, policies, and program goals sufficient to perform assignments that may affect Anesthesiology Practice.
Knowledge to coordinate the work of Anesthesiology Service with other offices and recognizes the need for such coordination in various circumstances.
Knowledge of Departmental procedures, policies, priories, program goals, organization and function s of the office necessary to coordinate the procedural work within the office, as well as coordinate work with other offices and agencies.
Knowledge of the major issues, program goals and objectives, work processes, and administrative operation of the organization.
Knowledge of the theory and principles of management and organization including administrative practices and procedures comment to healthcare organizations.
Knowledge of effective communication skills both written (including knowledge of grammar, spelling, punctuation, and required formats sufficient to recognize and correct errors in correspondence and reports) and verbal (including proper phone etiquette).
Proficiency Requirements: (Office Automation) In addition to meeting the experience requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.
Typing requirement for this position (Office Automation) of 40 *words per minute typing speed. *Words per minute are based on a 5 minute sample with three or fewer errors.

Physical Requirements: The work requires walking throughout the facility, standing, bending, and carrying items such as books, papers, and files. The work requires the incumbent to be able to move comfortably around the office and other locations as necessary. The work is performed in an office setting with occasional travel to outside facilities for meetings, training, conferences and networking.
Work Environment: The work is primarily performed in an office setting where the incumbent would be exposed to common risks associated with veteran populations served. The office is adequately lighted, ventilated and appropriate temperature.
