The VA Loma Linda Health Care System is currently recruiting an Administrative Support Assistant (OA) for Surgical Service. The primary purpose of the position is to perform administrative support and budget-related functions which facilitate and expedite the work of management to ensure operational effectiveness of the Surgical Service.

Duties

Duties include but are not limited to the following: Provide accurate and reliable information on the administrative functions of the service. Relays personal administrative program requirements to managers, supervisors, and staff members on matters related to administrative services. Give briefings on administrative topics; schedules events/meetings as necessary. Expert source of information on processing a variety of program transactions. Services as the primary timekeeper, reviews time and attendance reports for employees and assures reports are correctly entered. Maintains files and training certificates on VATAS. Respond to and resolves most issues involving timekeeping. Advises supervisors and employees concerning questions about pay, hours of duty and leave, referring unusual situations the supervisor. Manage the planning and coordination of the operating room scheduling system. Independently carries out a variety of indirect patient care duties preoperatively according to the guidelines established by the Chief of Surgical Service. Ensures all necessary components are completed prior to placing a case on the schedule to avoid cancellation of surgical cases. Responsible for entering and ensuring VetPro information is current and correct. Administrative point of contact and procedural expert for the unit. Responsible for program administrative processes for financial, procurement, property. Maintains applicable tracking logs, action items, and manages administrative suspense items and transaction records. Use of computers and appropriate varied software for data collection, analysis and collating. Prepares reports, forms and tabular material, providing proper spacing, heading and arrangement for ease of understanding and information processing. Establish and maintain office files (electronic or manual), including contract and project files; withdraws materials from and returns materials to files. Receptionist: taking and referring telephone and e-mail contacts; responding to general inquiries; and making arrangements for staff and other meetings. Authority on postage classification and rates, package requirements, and processing of mail. Provides direction to staff on mail distribution and routing procedures and guidelines. Perform office automation duties using software applications in Microsoft Office, including Word, Outlook, Excel, Database, and Power Point. Assist other users regarding the selection of applications, training on a variety of standard application packages, and selection of appropriate formats and procedures for each task. Work Schedule: Monday thru Friday, 8:00 am to 4:30 pm PST Position Description Title/PD#: Administrative Support Assistant (OA)/PD11615O Physical Requirements: The work is primarily sedentary. However, there may be some walking, standing, bending, or carrying of light items. No special physical demands are required to perform the work.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information OR Applicants may substitute education for the experience required for the GS-06 level. To qualify based on education for this grade level you must have graduate education directly related to the work of the position. Proficiency Requirements: In addition to meeting experience or education requirements, applicants for this position must show possession of the ability to type at least 40 words per minute. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
