The employee serves as Secretary (OA) and reports directly to the Medical Center Director at the Central Arkansas Veterans Healthcare System (CAVHS). CAVHS consists of two inpatient campuses located in Little Rock and North Little Rock, Arkansas. This position is located in Little Rock, Arkansas.
Duties

This position serves as the principal clerical and administrative support position for the Medical Center Director (MCD), Executive Leadership Team and the organization by carrying out and coordinating all the clerical and day-to-day administrative support activities.
Duties include but may not be limited to:
Manages the calendar for the Medical Center Director (MCD) to schedule appointments, coordinate meetings, and/or schedule conferences.
Coordinates travel arrangements for the MCD and other members of the Executive Leadership Team if needed.
Serves as a buffer and liaison for the MCD primarily but also assists the other members of the Executive Leadership Team as well as the organization.
Maintains confidentiality, disseminating accurate information and responding accurately to inquiries, making appropriate referral in person and by telephone, referring matters of sufficient importance to the MCD or other appropriate individuals.
Receives all telephone calls and visitors for the MCD and determines nature of calls or business of the visitors.
Reviews correspondence and documents prepared for signature of or requiring coordination by managers for conformance with regulations, grammar, format, and special policies of the organization.
Attends committee meetings, takes minutes, distributes meeting minutes and ensure follow-up actions are completed.
Advises clerks, secretaries, and other staff on the usage of office memos, letters, and other clerical procedures.
Responds to Veterans, families, visitors and coworkers' request for assistance promptly and in a friendly and cooperative manner.
Manages Human Resource activities related to employees with the MCD as their first line supervisor, including maintaining personnel folders and performance evaluations.
Performs other duties as assigned.
Work Schedule: Monday - Friday, 7:30am - 4:00pm.

Qualifications
To qualify for this position, applicant(s) must meet the following:
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
AND
SPECIALIZED EXPERIENCE: Requires at least one year of specialized experience equivalent to at least the next lower level (GS-7) in the federal service that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to successfully perform the duties of this Secretary (OA) position and that is typically in or related to the position to be filled. Specialized experience includes working independently to provide administrative support. Examples of specialized experience include managing a calendar to schedule appointments and/or meetings; utilizing a variety of office equipment and software to prepare correspondence, reports, memorandums and other written communication such as emails; maintaining databases and files; and providing clerical/administrative guidance to others. PHYSICAL REQUIREMENTS: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as books, papers or files and unloading supplies such as computer paper.
