Incumbent serves as Secretary and reports directly to the Associate Director, Patient Care Services/Nurse Executive at the Central Arkansas Veterans Healthcare System (CAVHS). CAVHS consists of two inpatient campuses located at Little Rock and North Little Rock, Arkansas. A tertiary care level 1a organization, CAVHS is part of the South Central VA Health Care Network (VISN 16), which includes facilities in Oklahoma, Arkansas, Louisiana, Mississippi, Texas, and Florida.
Duties
Duties:
Composes a variety of documents using Microsoft Office products according to knowledge of forms, requirements, and procedures.
Prepares and reviews awards documents and maintains a record keeping system related to awards.
Maintains electronic files on personal, service, or public drives for e-mail and other documents as required and according to sensitivity level and access needed.
Maintains calendars and appointments with authority for commitment of time according to established priorities and direction from leadership.
Acts as the liaison between other departments and services.
Coordinates travel arrangements to include itineraries, hotel reservations, and providing notifications to organizations and officials involved with the travel.
Answers phone calls and greets visitors making appropriate referrals in person and by telephone.
Prepares and communicates agenda; attends and records the minutes of formal and informal meetings.
Receives and reviews electronic mail via Microsoft Outlook.
Ensures practices and procedures used by secretaries in subordinate offices are consistent and within compliance.
Trains directorate/office level secretaries and administrative personnel on correspondence standards.
Recommends changes in administrative policies.

Work Schedule: Monday to Friday 7:30 am-4:00pm. Subject to change based on the need of the agency.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/26/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS- 08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the Federal Service, that equipped you with the particular knowledge, skills, and abilities (KSA's) needed to successfully perform the duties of the position and that is typically in or related to this Secretary (OA) position to be filled. Specialized experience includes: Extensive computer skills utilizing Microsoft Office and various other computer applications such as Excel, Outlook or other similar systems; providing instructions and sound advice to internal and external customers of the organization regarding directives, reports, and correspondence procedures; experience utilizing electronic systems to schedule appointments, coordinate meetings, and/or schedule conferences; experience in written communication such as preparing reports, correspondence, memorandums, and other forms or written communication. This experience must be supported by your resume to be creditable.
Proficiency Requirement: In addition to meeting experience requirements, applicants for this position must show possession of the following skill. Applicant may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificate. Please note, the agency may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Must be able to type 40 words per minute or more.

Physical Requirements: The work is primarily sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some daily walking, standing, bending and carrying of light items such as books, papers and files. No special physical demands are required to perform the work.
