The Program Support Assistant (OA) to the office of Police & Security Management (P&SM) serves as an integral part of the management team which consists of the Supervisory Security Specialist, Operations Officer, Criminal Investigator, Training Officer and Supervisory Police Officers. provides operational support through planning, coordinative, and interpretative methodologies and is directly supervised by the Operations Officer.

Duties

Ability to plan, organize and coordinate work made up of administrative practices and complex organizational processes. Ability to coordinate several tasks simultaneously, set priorities, and meet deadlines for a large organizational wide program. Cross-trained in many of the specific job functions of other administrative support staff, most specifically timekeeping, patient scheduling, leadership support, answering phones, and check-in desk(s) for coverage. This enables the incumbent to provide cross coverage for time-sensitive administrative duties needing completion when those primarily responsible are unavailable. Safeguard assigned purchase card, which is to be used for Official Government use only. Resolves disputes receipt of goods, managing transportation changes. etc. Reconciles payments; matches the vendor billing to the purchase card transaction. Experience and proficiency using a variety of computer software programs, including word processing, e-mail, copy, store, and edit a variety of documents, prepare presentations, and maintain tracking systems. Maintains an automated system of program specific data to track suspense's on items such as progress reports, funding accomplishments, compliance strategies, etc. Perform office automation duties using such software applications as electronic mail, desktop publishing, calendar, spreadsheet, database, and/or graphics and able to assist other users with regard to selection of applications, training on a variety of standard application packages, and selection of appropriate formats and procedures for each task. Perform analysis of the data and generates a variety of reports to include consult tracking, encounter tracking, consult toolbox utilization, etc. Researches various publications to extract, summarize, and compile information required for the activities of the Section Chiefs. Oversees and manages key control program for medical center; provides guidance and direction to staff assigned to issue and maintain electronic space key files and signature cards. Knowledge of medical center correspondence procedures and the rules of grammar, spelling, punctuation, and required formats to properly review and prepare letters, memoranda, directives, and reports. Type a variety of materials, in rough draft or final form, from voice recordings. Took minutes for a variety of different submits official minutes for review and signature to the committee chair or Executives. Applied the process of discovery that involves the diagnosis of a problem or issue, identification and gathering of relevant information, formulation and evaluation of alternative solutions or courses of action, and selection or recommendation of the preferred solution or course of action. Ability to effectively communicate both orally and in writing with individuals at all levels of an organization from diverse backgrounds, including external organizations. Act as a liaison between the Operations Manager. Work Schedule: Monday - Friday, 7:30 am - 3:30 pm, subject to change based on the needs of the facility. Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/11/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Applicants for this position must show possession of the following skill: 40 words per minute typing speed. Applicants may meet these requirements by self-certifying their proficiency. You should be aware your self-certification of possession of this skill is subject to evaluation and verification. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Provides administrative support: such as Collecting, compiling, and tracking data and information. Processing documents and reports. Updating and maintaining office files and reports. Experience with Microsoft Word, Excel, PowerPoint, electronic email, desktop publishing, Calendar, database and or Graphics. Customer service, answering phones, referring visitors, and providing information. You will be rated on the following Competencies for this position: Administration and ManagementData ManagementOrganizational Awareness Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary, however some walking throughout the Medical Center, bending, lifting and carrying light objects (25 pounds or less) is required. The duties of the position require mental concentration and alertness, The requirement to meet procurement and reporting deadlines is an ongoing demand. Sitting for significant periods of time at a computer terminal on a daily basis is required.
