Program Support Assistant screens all telephone calls and visitors to the office of the Chief of Staff. Ensures policy, procedure and standards are applied consistent, according to Federal, VHA, VISN, Miami VA Healthcare System or applicable accrediting agency standards. Assigned as primary/secondary timekeeper for T&L's aligned under the Chief of Staff Office. Initiates and follows through with work orders for keys, repairs and equipment requests. Serves as ADPAC and PIV Sponsor.
Duties
Include but are not limited to:
Gathering information, identifying and analyzing issues, and developing recommendations to resolve substantive problems of effectiveness and efficiency of work operations in a program or program support setting.
Develops policy and procedure, implement monitoring techniques and provide analysis and trending of outcome data.
Collaborates with Quality Management to determine mandatory monitoring and reporting requirements.
Maintains current knowledge of performance measure criteria and goals.
Assists clinical staff to problem solve barriers to goal achievement and to access resources.
Assists service chief to collect peer review data, compile into appropriate format and distribute to appropriate personnel and/or services.
Provides administrative support to ensure customer satisfaction through education of staff and through researching and composing correspondence for service chief such as patient complaints or congressional inquiries.
Collaborates with patient advocates to resolve issues toward positive outcomes.
Tracks performance appraisals to ensure they are completed by required due dates.
Monitors balances of control points and status of projects and recommends reprogramming of funds as needed.
Completes other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/13/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-06 position you must have served 52 weeks at the GS-05.
The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Preferred Experience: At least 2 years of experience in customer service at a hospital setting; demonstrate excellent grammar and composition skills; experience with program activity coordination and outreach events.
Qualification Requirement: Specialized experience described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Provides general clerical support such as answering the telephone, referring visitors, or providing information. Liaison with the human resources office, with personnel-related matters. Serves as welcome agent for new employees. Setting up meetings with communication to attendees in advance, preparation of agenda, and distribution of agenda and/or handouts. Coordinates scheduling and travel orders, hotel reservations and transportation to support projects, investigations, conferences, or meetings. Tracks performance appraisals to ensure they are completed by required due dates. Timekeeper for service. Serves as ADPAC and PIV Sponsor.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Work is typically primarily sedentary, although some slight effort may be required.
