This position is located at the Dayton VA Medical Center, Primary Care Service, Employee Occupational Health (EOH) Section. The Program Support Assistant (PSA) works under the supervision of the Supervisory Physician of EOH. Incumbent for this position ensures that all administrative functions associated within the clinic are completed in a timely and accurate manner.
This is a bargaining unit position.
Duties
Duties include but are not limited to:
Collects, compiles and tracks patient care information in multiple systems and multiple formats by creating health records on all employees (paper and electronic).
Registers all employees, volunteers, and humanitarians in Veterans Health Information Systems & Technology Architecture (VISTA). Initiates consults, labs, medical orders, and forms mandated by specific programs and day-to-day routine encounters.
Electronically schedules and documents workload, enters no-shows, and follows up with rescheduling as needed.
Daily manages clinic closures (E.g., blocking, cancellations) and resolving complex problems to ensure patient services are met.
Ability to utilize numerous VHA software applications including, but not limited to, CPRS, VISTA, VSE GUI, VAOS Scheduling Manager, HR Boarding APP, OHRS 2.0, Vet Link, Consult Tracking Manager, and Virtual Care Manager.
This position is responsible for timekeeping of Primary Care Ancillary Services and works in VATAS (timekeeper software).
The incumbent is a Medical Review Officer Assistant (MRO-A). This is a certified responsibility that reviews all employee drug screenings for new employees and random selection. Negative results go into USA Staffing and positives are submitted to Medical Records Officer.
The incumbent is responsible for answering telephones, secure messages, greeting patients, relaying messages to appropriate staff inside and/or outside the Dayton VA Medical Center, scheduling appointments, interpreting, and verifying provider orders in accordance with VHA national scheduling guidelines.
Triage patients effectively and report findings to providers.
Reviews documentation of all new and existing employees' medical records to ensure that all employees entering their work areas have met organizational health/physical requirements.
Order tests, labs, and put in consults as directed by providers.
Other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/05/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: time-keeping, receiving and responding to phone calls, emails, and other messages, using electronic filing systems, taking minutes and ordering supplies. Using various Microsoft Office programs, online data base programs, and office equipment. Working independently, complying with internal and external deadlines, and assisting in departmental problem-solving. Preparing reports, assisting in planning, reviewing and reporting data. Following SOPs, directives, and other training, ensuring work is compliant with regulatory procedures.

Physical Requirements: Work is mostly sedentary. However, there will be some periods of walking, bending, lifting, and/or carrying of work-related items. Normal safety precautions and practices are required for working in a healthcare environment. This position requires emotional ability to deal effectively with multi-tasking and high volume of patient flow and competing demands.
