The incumbent will be the Administrative Support Assistant for Nursing Service, and assisting the various programs by attending all meetings required and working closely with the Associate Director of Patient Care Services/Nurse Executive, the Deputy Associate Director for Patient Care Service/Deputy Nurse Executive, Administrative Officer or Health System Specialist, Associate Chief Nurses, Nurse Managers, and Nursing Staff.

Duties

Ensure computer equipment, copy machines, fax machines, and copiers with software are running appropriately and arranges for repairs and/or requests for new equipment and returns. Interact effectively with customers, veterans, their representatives, visitors, and all medical staff in a courteous, tactful, and respectful manner. Input all timecards into VATAS system and submit completed timecards for processing within the required time frames. Provide internal and external customers with consistent information according to established policies and procedures Obtain, organize, file, and retrieve reports, correspondence, and numerical data for use in preparing status reports, briefings, meeting minutes, policies, and presentations Assist with the human resource processes such as the hiring of new employees, students, and trainees, including duties such as scheduling interviews, organizing application packets for the interviewer(s), and communicating with staffing and local human resources to facilitate onboarding process. Orient new staff and provide training on Nursing Service policies, safety rules and regulations, CPRS, VistA, Outlook, Excel, Abode Pro, TMS, PIV, Secure Messaging, etc., including changes in policies and procedures. Responsible for assuring confidentiality of information and for assuring follow-up action whenever appropriate. Responsible for keeping minutes of the regularly scheduled meetings, and other meetings providing the minutes to the Administrative Officer for approval Maintaining chronological record of all approved minutes, and disbursing to the attendees, higher-level officials Review time and attendance reports for employees and assure reports are correctly entered Advise supervisors and employees concerning questions about pay, hours of duty and leave Work plans to deal with changing situations such as varying costs for equipment parts, or services, and changes in the availability of funds Handle conflict and problems in dealing with the customer constructively and appropriately. Analyze, fix, and refer repair activities to OI&T regarding ADP equipment and network problems Train to include proper computer shutdown procedures, generic vs. personal login/password codes, standard PC configuration, general orientation to shared drive/subdirectories, workgroups, and personal directories. Utilize different ordering, reporting procedures, and purchasing methods depending on the type quantity, dollar value, and urgency of the requirement. Coordinate with the using services representatives regarding sources of supplies and acceptable substitutions when the standard items are in short supply or unavailable from the normal source of supply. Maintain accountable procurement records and auditing information. Maintains catalogs, contract files, and lists of firms offering specific equipment, supplies, and services. Work Schedule: Monday - Friday, 8:00am - 4:30pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/03/2024. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: general clerical office support including receiving, screening, and referring calls and visitors; processing incoming and outgoing written material, including reports; preparing documents in a variety of computer-generated formats; maintaining files; scheduling and coordinating appointments and meetings; obtaining supplies, equipment, and services for the office; arranging for travel and assisting staff with the submission of travel requests and approvals; and entering data into the training database; proficient in computer software such as Microsoft Word, Excel, Power Point, Outlook, etc.; knowledge of timekeeper practices and/or policies in preparing time sheets; processing transactions involving supply orders; keeping minutes of scheduled meetings; maintaining office files and retrieving reports. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. OR, Combination: Applicants may also combine education and experience to qualify at this level. Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5 and below. For GS-5 level positions only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.
