The primary purpose of this position is: To serve as the principal office assistant and executive specialist to the Commander, Twelfth Air Force (Air Forces Southern), as well as the Vice Commander, Air National Guard Assistant to the Commander, Mobilization Assistant to the Commander, Chief of Staff and Deputy Chief of Staff for the command.
Duties
Administrative Support. Incumbent acts as oversight/gatekeeper and provides administrative support for the Twelfth Air Force (Air Forces Southern) Commander, Vice Commander, Air National Guard Assistant to the Commander, Mobilization Assistant to the Commander, Chief of Staff and Deputy Chief of Staff (Executive Leadership). Performs duties designed to relieve Executive Leadership of as much administrative details as possible, enhancing their relations with other high-level officials and contacts.
Clerical Support. Exercises control over six (6) Executive Leadership calendars, coordinates meeting arrangements, and schedules meetings and/or conferences, including those involving US Congressmen and Congresswomen and staffers, senior US state and local officials to include governors, state representatives, and city mayors, senior DOD officials to include the Chief of Staff of the Air Force and senior members of USSOUTHCOM, Air Combat Command, Headquarters Twelfth Air Force (Air Forces Southern) staff, State Department agencies, US embassy personnel to include US ambassadors, senior civilian business leaders from major national and international firms and foreign militaries.
Office Automation Support. Uses a variety of office automation software to produce a wide range of documents, requiring complex formats, such as graphics or tables within text, editing, and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. Independently plans and executes complex office automation duties requiring different approaches and methods.
Manages the Twelfth AF (Air Forces Southern) Commanders official and social appointments; interacts directly with the Commanders to determine official and social commitments as well as official travel requirements. Organizes and tracks commitments made at meetings and conferences attended by the Executive Leadership.

- This position is designated as a key position IAW AFI 36-507. Duties of this position are essential to the accomplishment of wartime/contingency operations.
- Incumbents of key positions must be removed from their military recall status if alternative for filling of the position during an emergency are not available.
- Applicants must meet the OPM qualification standard and must possess the following skill: Must be able to type 40 words per minute (WPM).
Qualifications
In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions.
SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-09, or equivalent in other pay systems. Examples of specialized experience includes knowledge of advanced office automation software, practices, and procedures and their application in the performance of office support work. Knowledge of advanced functions of MS Excel other newer software that assists in the development of spreadsheets and reports. The ability to develop presentations using MS PowerPoint or newer presentation software packages. Use office automation software to prepare presentations and reports that include textual documents, charts, graphs and spreadsheets. Capability of learning new software packages and procedures to remain current and increase office efficiency and productivity. Extensive knowledge of administrative concepts, principles, and practices in order to coordinate the work of the office, interpret and adapt established procedures necessary to handle unusual situations, and provide guidance and instructions to subordinate offices on the preparation of correspondence, reporting requirements, or other administrative procedures. Knowledge of a variety of foreign customs and language factors to anticipate project elements, regulations, methods, and practices and to advise senior US government officials on appropriate interaction with senior leaders.
FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-09 level is required to meet the time-in-grade requirements for the GS-10 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements.
KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:
1. Knowledge of the major issues, laws, program goals and objectives, work processes, and administrative operations of a large, multifaceted organization. Knowledge of foreign relations/protocol procedures that apply to military/civilian leaders (foreign and domestic) and of sensitive, nationally unique customs and courtesies of the international community.
2. Basic knowledge of analytical and evaluative methods, procedures, and skill in evaluating administrative operations to develop plans, to analyze work process and continually improve them to meet customer and organizational requirements. Knowledge of management and organizational programs, operations, objectives and policies to conduct studies to evaluate administrative processes. Skill/ability to prepare reports/studies to encourage understanding and acceptance of findings and recommendations.
3. Ability to negotiate complex issues and maintain positive relations with contacts at various levels.
4. Knowledge of extensive rules, procedures, or operations applied to executive administrative assignment to perform executive level administrative/secretarial work of the office, such as preparing and editing documents, evaluating administrative processes and locating, assembling and composing information for various reports, inquiries and correspondence. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to be able to prepare and edit written correspondence and reports.
5. Skill in the analysis of multiple senior leader schedules to effectively manage time and priorities. 6. Skill in the use of standard computer tools and automated systems to develop and maintain various electronic files, word processing documents, presentations, and spreadsheets.
PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
