The Program Support Assistant assists the Chief of Police and Deputy Chief of Police, Captains, and Administrative Officer in clerical and administrative work. The incumbent is responsible for performing a full range of specialized duties in the Police Service Office of the Chief, at the San Francisco VA Medical Center Police Service program area which involves developing information, identifying interrelationships, and taking actions consistent with the objectives of the program served.
Duties
Major duties include, but are not limited to:
Organizes office records in a timely and orderly manner. Reviews documents and reports for proper disposition.
Performs on-going file maintenance of confidential records, ensuring that all Police records are placed in the proper storage areas and accessed only by authorized personnel.
Collects and compiles criminal statistical data from the local community, State and Federal government agencies regarding criminal activity surrounding VA facilities. Compile and prepare quarterly reports from this data for Environment of Care Committee.
Performs work related to the acquisition and/or development of program information and resource materials/personnel to support the policy development and/or technical activities of the organization.
Completes special projects in support of the technical/program activities of the organization.
Arranges and coordinates with other services outside agencies and other entities for meetings, video conferencing, surveys, training, inspections, events, etc.
Manages and coordinates the organization's office schedule and day-to-day operational plans.
Maintains scheduling requests/reservations for service's Training facilities.
Maintains and informs the Chief of Police, Deputy Chief of Police, and Training Sergeant on administrative policy changes and resource utilization within the Police Service programs.
Maintains administrative manuals and policies current as revisions are created, maintains current Police Standard Operating Procedures (SOP), researches Federal and State Statutes to update Medical Center Memorandums (MCM).
Primary custodian for the service and provides employee access cards to restricted areas in Research partitions-but the permission is authorized in Research Administrative, selected areas in the medical center, and other CBOCs access to doors typically with permission by the department managers.
Issues parking decal to all SFVAMC employees/students & volunteers parking permit and patient parking permit for leaving POV until the patient is able to drive POV.
Work Schedule: Monday- Friday, 8:00am- 4:30pm

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work, however, there may be some walking, standing, bending, carrying of light items such as papers, books, etc. No special physical demands are required to perform the work.
This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-07. At the GS-06 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-07. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds. Promotion is not guaranteed and no promise of promotion is implied.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/26/2024.
Proficiency Requirement: In addition to meeting experience requirement, applicants must be able to type 40 words per minute. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency.
Specialized Experience GS-6: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Specialized experience is defined as: assisting with computer access requests, maintaining program administrative supplies and office equipment and assisting with tracking data for research programs.
Specialized Experience GS-7: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Specialized experience is defined as experience monitoring all aspects of a research program, collecting and tracking data in support of research programs, assisting personnel with computer and administrative issues and performing timekeeping duties
Per Office of Personnel Management General Schedule Qualification Policies, federal employees are assumed to have gained experience by performing duties and responsibilities appropriate for their official series and grade level as described in their position description. Experience that would not normally be part of the employee's position is creditable when documented by satisfactory evidence (e.g., a memorandum from the manager, human resources director, or official documentation such as SF-52, SF-50 documenting an official detail/assignments, or other comparable documentation). The documentation must indicate whether the employee performed the duties full time or, if part-time, the percentage of times the employee performed the additional duties.
To receive credit for experience in your resume that is not within the official series and grade level of your position, you must provide official documentation of such experience as indicated above.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
