You will serve as an Assistant in the Corporate Operations Department of NAVSURFWARFCTR PANAMA CITY DIVISION. If selected, you will serve as the Executive Assistant to the Corporate Operations Department Head and the Deputy Department Head.
This position is part of the Warfare Centers Personnel Demonstration Project.
NG-03 is equivalent to GS-07/08.
NG-04 is equivalent to GS-09/10.
Duties
You will provide administrative oversight, assistance and guidance to Department staff, Division Heads, Branch Heads, division administrative assistants, employees, and other Executive Assistants.
You will perform executive-level administrative, operational, and office management support within a highly difficult, complex office structure.
You will provide instruction and guidance to Department assistants on administrative policies and procedures, correspondence requirements, travel, security, and timekeeping.
You will be accountable for managing the critical, evolving needs of the Department Head, Deputy Department Head, and for ensuring workflow and productivity of the Department office is a model of efficiency.
You will manage calendars, schedule meetings, create travel arrangements and track action items for senior Department managers and staff.
You will perform general office and clerical management and administration by applying required correspondence standards, Navy formats, proper grammar, spelling, and punctuation.
You will coordinate conferences, create and modify visit requests and SAARs (as Security Coordinator); prepare requests for small purchases and materials; update plant and minor property accounts; and utilize MS Office tools.
You will be responsible for managing Senior Leadership calendars, scheduling appointments and conferences without prior approval, and ensuring that the supervisor is fully briefed on the matters to be considered before the scheduled meeting.
You will be responsible for coordinating emergency preparedness plans.
You will lead and manage the Department's Records Management Program.

Qualifications
FOR NG-04 (GS-09/10 equivalent): Your resume must demonstrate at least one year of specialized experience at or equivalent to the next lower pay band, NG-03 (GS-07/08 equivalent) or grade level in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: experience managing or coordinating the clerical, administrative, or technical support functions for a program, office, executive, or organization. Examples of qualifying experience may include: developing or evaluating administrative policies and procedures; organizing and ensuring the flow of clerical processes; ensuring correspondence, requisitions, personnel action requests, and travel documents adhere to policy; coordinating travel arrangements; de-conflicting or optimizing appointment schedules to maximize time efficiency; coordinating meetings or conferences; developing spreadsheets, charts, or graphs to support executive level requirements.

Education
In lieu of specialized experience, you may qualify with the following education or combination of both education and experience:
- successfully completed a master's or equivalent graduate degree directly related to the position.
