The Staff Assistant position is in the Office of the Secretary, Office of Diversity and Inclusion (S/ODI). The incumbent handles highly sensitive classified materials, briefing memoranda, and correspondence; manages official visitors; assists with travel arrangements; inputs information in databases; and interfaces with the staffs of the Secretary, Deputy Secretary, and other 7th floor principals, as well as the regional and functional bureaus.
Duties
Creates work processes for scheduling, logistical, and planning support to inter organizational groups/meetings.
Advises senior management on ways to improve operational capacity, effectiveness, and efficiency, among other areas of concern.
Manages the various operational support activities of the entire organization to include developing processes and procedures to conduct and coordinate all management issues including personnel, travel, general services, and procurement.
Serves in a liaison with high level officials of the Department and other governmental agencies, keeping them informed for actions taken by the Under Secretary. Follows up for the Under Secretary on action requested of other offices.
Helps manage all operational support to the organization and develops operating procedures and best practices to facilitate the coordination of operational efforts, repair and upgrading of equipment, program and operational studies.
Requirements
- U.S. Citizenship is required.
- Incumbent will be subject to random drug testing.
- Must be able to obtain and maintain a Top Secret security clearance.
Qualifications
Applicants must have 1 year of specialized experience equivalent to the GS-11 level in the Federal service which provided the applicant with the particular knowledge, skills and abilities to perform the duties of the position.
NOTE: Applicants must meet time-in-grade and time after competitive appointment requirements, by the closing date of this announcement.
Time-In-Grade Requirements: Federal applicants must have served 52 weeks at the next lower grade to satisfy time-in-grade restrictions, per 5CFR 300, Subpart F.
Qualifying specialized experience must demonstrate the following:
Experience managing all operational support to the organization.
Experience managing calendars and coordinating travel arrangements.
Experience developing standard procedures for records management of employee information. AND
Experience preparing both oral and narrative reports for senior leadership.
There is no substitute of education for specialized experience for the GS-12 position.
