The incumbent is a Program Support Assistant located at the South Texas Veterans Health Care System Fisher House. The incumbent serves as a Program Support Assistant for Fisher Houses I and II and is responsible for performing clerical support assignments related to guest relations such as ensuring all incoming Fisher House family members and Veteran patients have preregistered for the Fisher House and are aware of the rules and regulations associated with the occupancy of the room.
Duties
Assists with the facilitation of daily operations at the Fisher House.
Performs quality checks and observations of guest rooms to ensure the facility is presentable and in accordance with program standards and guest expectations.
Creates work orders with Engineering or other services for regular maintenance, changes and repairs. Follow up on Work Orders.
Makes recommendations to Fisher House Manager on ways to improve operations and processes based on trends and occurrences in rendering customer service and/or reviewing data and information.
Monitors and Accounts for all donated gift cards ranging in total amount from $5 - $2K and is responsible for issuing gift cards to guests. Reconciles gift card expenditures used to purchase items for guests throughout the FY.
Attends meetings with and on behalf of the Program Manager.
Manages community outreach activities. Identifies and coordinates activities to enhance business and community relationships with the STVHCS Fisher House. Identifies & facilitates recruitment of program volunteers and donors.
Completes Consults in a timely manner so that guests are not delayed.
Promptly responds to emails, Teams messages, phone calls, and guests requests.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: managing bed availability through automated systems like CPRS and Vista, addressing challenges in program support, ensuring guest safety, and resolving issues in a high-demand environment, providing customer service, welcoming guests, directing inquiries, and maintaining communication with various VA departments; enforcing Fisher House rules, managing room inventory, and addressing guest needs, including supply requisitions and inventory maintenance. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have four years above high school. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond high school.

In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Average physical ability, dexterity, and strength are required to perform the work. This includes preparation for programs, occasional moving/lifting of equipment, (100 cup) coffee pot, boxes of donated items, up to 40 pounds etc.), and assisting guests with luggage. Although some of the work is sedentary, the employee will be walking, standing, bending, and carrying some light to heavy items, as well as driving an automobile.
