The Advanced Medical Support Assistant (Advanced MSA) provides primary clerical and administrative support for all clinics within the Cardiopulmonary section. The incumbent works collaboratively in an interdisciplinary coordinated care delivery model, a patient aligned care team in the Cardiology and Pulmonary Sections of Medical Service to ensure delivery of coordinated, high quality, efficient and patient-centered care.
Duties
The primary duty for this employee is to be primary source of patient contact as they arrive for their appointments and provide administrative assistance for all Cardiopulmonary clinics. The employee will monitor the status and progress of work, and makes day-to-day adjustments in accordance with established priorities, obtaining assistance from the supervisor on problems that may arise. Gives on-the-job training to new employees in accordance with established procedures and practices. Provides information via telephone and in person to the general public, members of the professional staff, civilian, and military personnel in response to inquiries regarding appointments. The incumbent for this position will support all Cardiopulmonary Clinics (including Pulmonary, PFT, Chest, CPAP, Sleep Medicine, Echo, Zio, Treadmill, Cath Lab and EP Lab). The incumbent in this position has an increased level of complexity due to complex nature of patient care needed to schedule these particular specialty clinics occurs more than 25% of their assigned time.
Duties include but are not limited to:
Scheduling, canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility in accordance with VHA national scheduling guidelines, verifying and updating demographic and performing basic eligibility, co-pays and preauthorization requirements for specific coverage, secondary Timekeeper (if applicable), Encounter completion, make Hoptel requests, PAR, travel ADPAC (Automated Data Processing Application Coordinator), TMS Administrator, ordering of Supplies for Cardiology and Pulmonary (if applicable). Coordinates and regulates telephone intake of patient-initiated inquires and coordinate internal communication for staff that is both physically and functionally dispersed.
The Advanced MSA coordinates the timely and efficient flow of patients into and out of the labs, coordinates with Cardiology/Pulmonary staff for scheduling patient appointments in Non-Invasive Cardiology and Pulmonary Outpatient procedures, develops and maintains effective and efficient communication with patient and appropriate medical staff; VA medical centers, and other agencies regarding patient appointments, participates with other staff to manage and plan patient care, setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs, coordinates the administrative flow of patients into and out of the Cardiology/Pulmonary.
The Advanced MSA receives in-patient and out-patient procedure requests (consults) from physicians and other professional personnel, and scheduling appointments accordingly. Consult Management of the clinics within their primary responsibility. This includes periodic reports primarily and other types of Cardiology and Pulmonary workload reports if needed and assigned. Enters appropriate information into electronic record (CPRS, VISTA, VS GUI) and other clinical information systems as appropriate to the area assigned. Completes the verifying of third-party insurance and updating the information in to the Insurance Capture Buffer (ICB) Sending appointment notifications, instructions, and reminder letters to patients, checking in patients arriving for their appointments.
The Advanced MSA recommends changes to existing clinic procedures based on current administrative guidelines. Expertise in utilizing numerous advanced patient systems in support of multiple clinics involved in an interdisciplinary coordinated care delivery model. Appropriately triages patient concerns and brings urgent matters to immediate attention of Cardiology/Pulmonary staff Collaborates effectively with the other Cardiology/Pulmonary staff to ensure seamless care. The Advanced MSA is responsible for the timely and accurate capture of both clinical and administrative data record maintenance. The Advanced MSA updates Patient Medical Records with Procedure Reports including of Non-Invasive Cardiology and Pulmonary reports to referring physicians and closing consults in CPRS.

Work Schedule: Monday - Friday 8:00am-4:30pm or as determined by supervisor.

Qualifications

I. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
II. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
III. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
IV. Advanced knowledge of the technical healthcare process including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient healthcare portals as it relates to access to care.
V. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
VI. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
