About the Position: Serves as the administrative support assistant for a Section, applying thorough knowledge of the organization mission, functions, services, and of the administrative processes required to effectively conduct program operations. Strong organizational skills and attention to detail are fundamental for this position. Recruitment incentives, including student loan repayment, may be offered to highly qualified candidates.

Duties

Duties and responsibilities will vary depending on the level of the position, however you will be trained to develop into a full performance GS-7. Various duties may include: Manage the administrative and program support requirements by providing information on administrative policies, procedures, and requirements on matters pertaining to administrative management functions. Participate in fiscal functions involving the formulation and execution of operating budgets, assessment of resources, and maintenance and control of multiple facility accounts. Establish internal administrative procedures to improve operational efficiencies and timeliness of services. Receive visitors and telephone calls answering inquires. Respond to requests for information.

The duties of this position lead to the full performance level of GS-07. Incumbent may be appointed to the GS-05, GS-06, or GS-07 (depending on qualifications). Promotions are not automatic. If selected at one of the lower grades incumbent may be non-competitively promoted to the next higher grade upon (1) meeting all regulatory requirements; (2) certification by the supervisor of successful performance; (3) completion of all training requirements; and (4) the availability of work at the next higher grade level. Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors. Minimum Qualifications for the GS-05: Specialized Experience: One year of specialized experience which includes maintaining records or files for the office and using computer software to produce correspondence or other documents. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04). OR Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages. Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-03/04). Minimum Qualifications for the GS-06: Specialized Experience: One year of specialized experience which includes inputting information into a database system; and responding to customers to answer inquiries or redirect to the appropriate staff or supervisor. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05). OR Education: A half year (i.e., 9 semester hours) of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, such as Business Administration, Public Administration, Organizational Behavior, Management, or a related discipline to the position. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) by 9. Add the two percentages. Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-05). Minimum Qualifications for the GS-07: Specialized Experience: One year of specialized experience which includes preforming administrative functions associated with budgeting, information flow, personnel, and time keeping; and interpreting regulations/policies to ensure procedures are in compliance. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06). OR Education: One full year of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, such as Business Administration, Public Administration, Organizational Behavior, Management, or a related discipline to the position. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) by 18. Add the two percentages.
