The purpose of this position is to provide administrative support to Surgical Care Service Line leaders and staff. The position is physically located in the Surgical Administrative office suite adjacent to the offices of the Service Line Director, Administrative Officer, Program Specialist, and Surgical Nurse.
Duties
Duties include, but are not limited to the following activities:
Processes residents/students (incoming/outgoing).
Initiates Focused Professional Performance Evaluation (FPPE) and Ongoing Professional Performance Evaluations (OPPE) for service line HSS and Chief of Surgery.
Serves as timekeeper for the service line employees. Back-up timekeeper for audiology, nursing, CBOC staff and dental.
Tracks, routes all documents regarding travel, trainings, continuing medical education and authorized absent requests.
Serves as a surgical service SharePoint site owner.
Serves as service line TMS Administrator.
Assists service line leadership with maintaining compliance with mandated human resources policies by coordinating the recruitment process with credentialing and human resources management, from initiation of request through selection candidate (25 Service Line action steps).
Notifies appropriate staff when policies are due. Assisting with the updates, routing
Assists in the coordination of setting up, closing and changing clinic schedules for the service line providers per DSS regulations policy for concurrence to other service lines that the policy effects.
Coordination of the service line equipment requisition process, working with service line employees to obtain required information, submitting requests in required format, tracking acquisition once requests are approved and alerting service line leadership and/or logistics when delays occur.
Assist service line leaders in preparation for monthly meetings outside the service line (ECOMS, OMS, Peer Review committee, etc.).
Functions in one of the official capacities required for each financial transaction.(Requesting, Approving, Certifying official)
Work Schedule: Monday - Friday 7:00AM-3:30PM
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for AD HOC telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/14/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-6) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the Program Support Assistant position, and that is typically in or related to the work of this position. Specialized experience includes: providing administrative and technical support for the management of various programs; maintaining databases and utilizing various software programs; scheduling appointments and typing a variety of correspondence. This experience must be detailed in your resume to receive credit.
