The position reports to the Associate Director of Patient Care Services. The incumbent provides oversight of the daily operations of the entire Associate Director Patient Care Services office.
Duties
Duties include, but are not limited to:
Develops and maintains strategic planning that results in the development of long range plans, goals, objectives and milestones for the program, which are designed to improve learning and development, performance, and efficiency and effectiveness of service.
Provides information to leadership which promotes important decision-making that substantially affects economy of operations.
Have good interpersonal skills for face-to-face and telephone contacts with employees, supervisors, staff, etc.
Maintain contact with all areas of administrative functions within CAVHS to ensure continuity.
Assists in ensuring that issues/complaints raised by Veterans and Service Members, their families and/or stakeholder are fully addressed.
Uses MS Word or comparable word processing software to execute several office automation functions such as storing and retrieving electronic documents and files; activating printers; inserting and deleting text; formatting letters, reports, and memorandum; and transmitting and receiving e-mail.
Ensures all procedures, policies, processes, and reporting requirements are well-coordinated and consistent.
Assists in seamlessly coordinating planning and operational programming concepts for facility operations inside Patient Care Services.
Effectively deals with conflict and conflict resolution.
Develops and maintains productive and cooperative relationships with internal and external groups, organizations and other contact management entities.
Rely on administrative guides, manuals, samples, etc. to complete forms and prepare correspondence.
Works collaboratively with multiple CAVHS departments and services to promote state of-the-art business and technology systems.
Incorporates data reports with professional knowledge to provide constant program oversight that leads to reducing and/or eliminating problems.
Locates appointment information or team assignments /location using computer based systems.
Other duties as assigned.
Work Schedule: Monday - Friday, 7:30am-4:00pm (subject to change based on the needs of the agency)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/09/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-12 position you must have served 52 weeks at the GS-11. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-11 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Preparing procurement instruments which require adaption of standard templates; negotiating the terms and conditions of a contract; Required to obtain COR II certification as the service Contracting Service Representative; Experience providing guidance and training on policies, procedures, and common rules of written correspondence; Experience evaluating workload and cost analysis associated with programs. This may include utilizing reports, assisting with writing formal responses, action plans, etc; Experience formulating policies and operating procedures, ensuring compliance with regulations, statutes, and the standards of internal and external reviewing and accreditation bodies. and Participates in top management discussions, decisions, policymaking, and provides program direction to other executives, managers, and assigned personnel. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hour worked per week.

Physical Requirements: Work is primarily sedentary, but does require some periods of standing, walking and bending. The position requires regular use of typical office equipment including phone, multi- functional device and computers.
