You will serve as a ADMINISTRATIVE SUPPORT ASSISTANT in the BUREAU OF MEDICINE AND SURGERY (BUMED) of BUREAU OF MEDICINE AND SURGERY. Salary: GS-07 $55,924-$72,703 Salary: GS-09 $68,405-$88,926

Duties

You will establish and maintain tracking systems associated with correspondence, civilian and military personnel cases, military justice, investigations, reports, file destruction, and requests for records and information. You will assist with the administration and coordination of the Financial Disclosure Program, including OGE Forms 450 for BUMED staff members and personnel from all subordinate commands who are required to file financial disclosure statements. You will maintain ethics training logs to document completion of required trainings. You will maintain subject matter files and records that relate to the work of the organization. You will ensure that files include all required documents and that documents are properly signed. You will receive incoming correspondence and taskers, screening material prior to distribution for suspense dates, establishing controls, and following up for the supervisor. You will review correspondence prepared for the supervisor checking for spelling, conformance to formats and procedural requirements, and consistency with organizational policy and the supervisor’s views on the issue. You will schedule appointments and make arrangements for time, participants and location of meeting, cancel and/or reschedules meeting and notifies appropriate personnel of schedule changes. You will prepare case files, packages, and information for briefings and meetings. You will use Defense Travel System (DTS) coordinates and makes travel arrangements, works travel orders and vouchers ensuring they are submitted timely and in compliance with the travel regulations

Requirements

  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites.

Qualifications

FOR THE GS-09: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-07 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Experience organizing legal case files, and interacting with electronic databases. Experience assisting personnel in all administrative aspects of case management, including scheduling commitments, case file management, correspondence with DON and non-DON personnel, and reviewing documents for spelling and format. Experience providing assistance in the coordination, tracking, and preparation of presentations, spreadsheets, point papers and other documents. Experience using Defense Travel System (DTS) to make travel arrangements, including preparation of travel orders and vouchers ensuring they are submitted timely and in compliance with travel regulations. Experience maintaining IT resources and office supplies, facilitating mailing and shipping needs, managing records filing, retention and destruction. FOR THE GS-07: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-05 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Experience assisting with the organization of legal case files, and interacting with electronic databases. Experience assisting personnel in all administrative aspects of case management, including scheduling commitments, and case file management. Experience reviewing and tracking all incoming/outgoing documents which requires legal staff and/or attorney action. Experience assisting with travel arrangements, including the preparation of travel orders and vouchers. Experience receiving and screening visitors and telephone calls. Experience maintaining IT resources and office supplies, facilitating mailing and shipping needs, managing records filing, retention and destruction.
