Spokane VA Medical Center is looking to fill a Lead Medical Support Assistant positions at the main Spokane facility in the Office of Community Care service line.

Duties
The Lead MSA is responsible for the coordination of MSA assignments and workflow, especially in an interdisciplinary unit. The Lead MSA is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings. The Lead assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, inpatient/outpatient, specialties, and/or community resources.
The duties of this position include but are not limited to the following:
Monitor and make work assignments. Distribute and balance the workload among employees in accordance with established work flow or job specialization. Set priorities and delegate tasks to meet requirements and deadlines. Assume timely accomplishment of the assigned workload. Assure tha teach employee has enough work to keep them busy.
Organize the work structure of his/her assigned area. Resolve daily workplace issues, manage staffing requirements, assure coverage of all areas of responsibility and maintain efficient workflow. Ensure accurate and timely scheduling of appointments.
Stay abreast of the status and progress of work, and make day-to-day adjustments in accordance with established priorities, obtaining assistance from the supervisor bn problems that may arise, such as backlogs which cannot be completed promptly. Follow-up on pending issues and problems. Understand of the impact of incomplete work and communicate this impact to the supervisor.
Communicate tactfully and effectively, both orally, in writing, and with staff to meet program
objectives and obtain the desired effect. Ensure compliance with established policies and regulations.
Estimate and report on expected time of completion of work, maintain records of work
accomplishments and time expended, and prepare production reports as requested. Review and monitor data to ensure all reports are complete and accurate.
Instruct employees in specific tasks and job techniques and make available written instructions and practices. Orient and provide on the job training for new and current employees. Provide staff. developmental and instructional training (e.g. formal, on-line, face-to-face) as needed. Ensure all training requirements are met to include mandatory training requirements.
Maintain a current knowledge and answer questions of other employees on procedures, policies, directives, etc. and obtain needed information or decisions from the supervisor on problems that arise. Follow-up on work in progress or spot check work not requiring review and review completed work to see that the supervisor's instruction on work sequence, procedures, methods and deadlines have been met. Conduct ongoing reviews to ensure quality of work.
Amend or reject work not meeting established standards, refer to supervisor questions or matters not covered by standards and problems in meeting performance standards.
Monitor working conditions such as seating, ventilation, lighting, safety, etc.
Create and maintain employee work schedules. Approve leave for a few hours or for emergencies.
Inform employees of available services and employee activities. Resolve simple, informal complaints of employees and refer others to supervisor.
Report to supervisor the performance, progress and training needs of employees, and on behavior problems. Act as liaison between MSA's and staff to resolve day-to-day conflicts.
Provide information to supervisor as requested concerning performance, promotions, reassignment, recognition of outstanding performance, and personnel needs.
Work Schedule: Typical tour of duty is Monday-Friday 8am-4:30pm. *Available shifts will be discussed during the interview process.
Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year)
Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child.
Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.

Qualifications

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j
Specialized Experience must possess one year of specialized experience equivalent to the GS-6 grade level (1) collaborating with medical clinicians across multiple disciplines, scheduling interdisciplinary appointments, and possessing an advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community. **Resume must include hours per week for work experience credit. **
Candidates must demonstrate the KSAs below:
1. Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
2. Ability to utilize numerous advanced patient care systems in support of multiple clinics in an interdisciplinary setting.
3. Ability to organize work, set priorities, and delegate tasks/responsibilities to meet deadlines.
4. Skill in communicating with individuals to obtain the desires effect and coordinating with a variety of interdisciplinary care team staff.
5. Ability to provide staff development and training.
6. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact if incomplete work across multiple clinics.

The full performance level of this vacancy is GS 7
Physical Requirements: The work is mostly sedentary but may require periods of standing or walking however, there are no physical requirements for the 0679 Medical support Assistant occupation.
