You will serve as the Executive Assistant providing senior level administrative support to the Associate Administrator (AA) and the Deputy Associate Administrator (DAA) as well as the DR&R Headquarters (HQ) Directors.

Duties

As an Executive Assistant at the GS-0301-12, some of your typical work assignments may include: Receives visitors and telephone calls, from various staff throughout the DR&R Centers, other government agencies, congressional staff, and senior representatives of state and local governments. Tracks and informs the AA, DAA (and other assigned HQ senior managers) of their appointments, commitments or actions through the use of calendars such as Outlook and aids them with the preparation of reports, documents and other materials needed for their appointments. Interprets and maintains the SBA and DR&R guidelines related to the preparation and processing of controlled correspondence documents. Serves as an official DR&R HQ timekeeper. Reviews, writes, and edits documents on behalf of the AA and DAA as well as other assigned HQ managers. Uses office automation systems including current Microsoft Office packages, as well as custom software applications to accomplish their work. IMPORTANT NOTES: This is a temporary position, which is an Excepted service status position with a full-time work schedule. If required to travel to a disaster site, you may encounter hazardous working and/or living conditions, for example, no water or electricity and/or minimal lodging facilities. Requirements

  • You must be able to obtain and maintain a Government travel credit card.
  • Favorable background investigation and credit check are required.
  • Mandatory Overtime: In order to respond quickly and efficiently to disaster survivors, substantial compensated overtime hours may be required while on assignment (up to seven days a week and ten to fourteen hours a day).
  • This position is not included in a bargaining unit.
  • U.S. citizenship is required.

Qualifications

*Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g. Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. If qualifying based on related unpaid (e.g. volunteer service) experience, you must provide hours worked per week and beginning/ending dates (mm/yyyy to mm/yyyy).* You must meet all qualification requirements by the closing date of this announcement. Experience: To receive credit, you must indicate the month and year as well as the average hours worked per week for each employer or that experience will not be credited for meeting the specialized experience requirement. GS-12: To qualify you must have at least 1 full year (52 weeks) of specialized experience equivalent in difficulty and complexity to the GS-11 level in the Federal service that has equipped you with the particular knowledge, skill, and ability to perform successfully in this position. This experience may have been gained in a Non-Federal service position. In addition, this Specialized Experience must demonstrate all the following: Performing a minimum four (4) of the following six (6) administrative functions for an organization: (1) preparing and reviewing correspondence ensuring proper grammar and format; (2) preparing qualitative and quantitative reports; maintaining databases; (3) preparing and reviewing time and attendance records for accuracy and completeness; (4) monitoring progress on action items; (5) preparing responses to inquiries and requests for information; (6) coordinating executive travel; and Establishing executive calendars to include organizing, scheduling, and maintaining a calendar or schedule; and Creating and maintaining records/files; and Utilizing mobile and desktop productivity applications such as web browsers, email, spreadsheets, and word processing; and Communicating information from management/senior leaders to both internal/external audiences considering the nature and sensitivity of the subject matter.

There are no Individual Occupational Requirements for this series.

There is no substitution of education for experience for the GS-12 level for this position.
