As the Administrative Officer, for the Nursing service at Bay Pines VA health Care System in Florida, you coordinate and implement the administrative management for assigned Nursing Service(s) by exercising independent and creative judgment in accomplishing duties; you monitor performance, suspense actions, and enforces the directions of the Chief to ensure issues are brought to closure; assists in planning, review, and reporting of data/statistical results of program/project studies.
Duties
Major Duties:
Provides overall administrative management for the Nursing Service.
Reviews documents, reports and/or applications for omissions and inconsistencies.
Ensures data entry is complete and accurate.
Enters pertinent data information into automated tracking system.
Maintains automated system of program-specific data projects.
Schedules appointments, conferences, and coordinate meetings.
Manages equipment lifecycle replacement plan, and associated budget and funding request.
Maintains appointment calendar.
Works with other facilities, Administrative Officers, Managers and Supervisor in identifying opportunities for performance improvement.
Defining audit topics and criteria for Performance Appraisals
Reviews the documentation generated to assure compliance with the Joint Commission on Accreditation of Health Care Organization, and other Accreditation standards.
Work Schedule: Monday- Friday 7:30 AM- 4:00 PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/20/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-09 position you must have served 52 weeks at the GS-07.
The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Preferred Experience:
Experience with ADPAC functions.
Experience with a wide range of data analysis methods to assess impact of action across multiple, varied, and complex processes and systems to gauge the overall statistical and quality objectives.
Experience working with assessment and improvement of program effectiveness and the improvement of complex management processes and systems,
Experience working with a broad range of administrative directives, policies, regulations, and precedents applicable to the administration of a complex clinical support service across the healthcare system.
Experience with management analysis principles and concepts.
Experience working employee scheduling and timekeeping requirements.
Experience working with Union Agreement and governing Medical Center Memoranda to ensure that workers' time is scheduled and posted in accordance to the current agreement.
Minimum Qualifications Requirement:
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Interpreting administrative policies, developing local polices and standard operating procedures, defining administrative requirements, and providing advice to leadership. Monitors performance, suspense actions, and enforces the Chief directions to ensure issues are brought to closure. Assists in the planning, review, and reporting of data/statistical results of program/project studies. Data analysis to generate a variety of reports. Coordinates incoming data from a variety of sources. Reviews documents, reports, and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate. Enters pertinent information into an automated tracking system. Maintains automated system of program-specific data to track suspense's on items such as project milestones, progress reports, funding accomplishments, compliance strategies. Schedules appointments, coordinates meetings, and/or schedules conferences. Have fundamental knowledge of both written and oral communication to effectively interact with officials within Nursing Service, and across the health care system. Knowledge in applying budgetary and fiscal management principles, human resources/personnel management support, equipment property management, employee scheduling and timekeeping requirements, as well as training and process improvement. Knowledge of databases and spreadsheet applications, Microsoft Office, including Word, Excel, & PowerPoint. OR,

Physical Requirements: The work is primarily sedentary. It is usually accomplished while the employee is comfortably seated at a desk or table. Some physical demands such as standing, walking, bending, and lifting (up to 40 pounds) is required. Physical exertions including stretching, reaching, and pulling or pushing carts occurs when assisting with inventories or activities involving retrieving items from shelves and cabinets. Work is typically performed in an adequately lighted and climate-controlled office.
