As Administrative Assistant, you will be responsible for lead administrative/program support in McLean, VA office and for the Office of Examination (OE). Provides administrative support primarily for Office of the Chief Examiner and OE divisions and locations as needed.
Duties
Reviews, prepares, processes, and distributes examination reports and letters, management reports, and other documents for internal and external audiences. Ensures conformity/compliance with various Agency/Office/Division procedures and criteria.
Provides support on personnel-related matters, such as preparing requests for personnel actions, processing incoming and outgoing employees, providing onboarding assistance to new employees, and preparing training requests.
Develops and maintains filing systems and records that support the administration of programs and activities conducted by the Office of the Chief Examiner, Division and/or Field Office. This includes posting information to and retrieving information from the Enterprise Documents and Guidance System (EDGE) and other databases, and follows document retention guidelines. (The EDGE provides a repository for examination guidance and documentation. It is a SharePoint-based application designed to provide document management for examination and is recognized across the Agency as a foundation for electronic document and records management.
Assists the Director of Operations/OE McLean Field Office Director, supervisory senior examiners, and quality assurance examiners in developing, implementing, maintaining, and ensuring adherence with internal administrative procedures and controls.
Administers time and attendance (T&A) for assigned areas. Ensures all staff biweekly timecards are completed properly and submitted timely, reconciles timecards and leave slips to ensure accurate reporting, and resolves any discrepancies with staff and supervisors. Acts in a liaison capacity with the Agency's Compensation Manager.
Purchase card holder. Purchases field office supplies and services and incur other expenditures as authorized. Maintains appropriate purchase records, resolves erroneous orders and billing disputes, ensures proper reconciliation of purchase invoices with deliveries, and files monthly purchase card reports and records timely and accurately.
Travel voucher reviewer. Performs initial review of Division travel vouchers. Serves as a technical resource to the Division/Field Office staff regarding travel authorization and voucher-related matters.
Requirements
- Must be a U.S. citizen.
- One year probationary period, unless previously served.
- Suitability for Federal employment, as determined by a background investigation.
- Males born after 12-31-59 must be registered for Selective Service.
- Complete second hurdle assessment, if required
Qualifications
You may qualify at the VH-35 band level if you one year of specialized experience equivalent to the VH-34 (GS-08) band level in the Federal service that demonstrates your ability to review, edit and proofread correspondence and reports; create, store, retrieve and transmit documents using a variety of software, and provide phone and clerical assistance.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Education
You may not substitute education for experience at the VH-35 level.
