This positions is assigned to the Director's Office, VA Roseburg Healthcare System (VARHS) which is comprised of a medical center and community outpatient clinics in Eugene, Brookings and North Bend, Oregon.
Duties

This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-7. At the GS-6 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-7. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds.
Major duties:
Exercises control over the Associate Director and Executive Assistant's schedule;
Arranges and coordinates meetings with other subordinate administrative staff offices;
Accepts, rejects, or proposes an alternative time for requested meetings when the Associate Director's schedule contains conflicts;
Arranges for travel based on Executive's preferences, including airlines, hotel arrangements, travel times, and other factors;
Maintains a calendar of future events for up to the next 12 months;
Coordinates with the other members of the Executive Office to resolve scheduling conflicts, arranging for alternatives when scheduling conflicts arise;
Assigns and reviews administrative support work output for direct reports to the Associate Director;
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication;
Maintains confidential and privileged documents, communications, and patient/resident information;
Includes coverage of Congressional inquiries in the absence of the Director's Secretary;
Performs timekeeping functions and other regulatory requirements related to timekeeping;
Performs other duties as assigned.
Work Schedule: Monday-Friday 8:00am-4:30pm

Qualifications
Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

To qualify for this position at the GS-6 grade level, you must meet the following: One full year of specialized experience equivalent to the next lower grade level in Federal service (GS-5) with responsibilities close to the work of this position that has given you the particular knowledge, skills and abilities required to independently perform the duties of a Secretary (OA). Specialized experience is experience gained providing secretarial and/or administrative support performing duties such as: preparing in final format memoranda, letters, meeting notes, and other documents; maintaining logs and files; scheduling appointments, coordinating meetings, and preparing travel requests; maintaining calendars and schedules for staff; monitoring, maintaining, and reporting time and attendance for an office/service; and experience using automated software applications such as Microsoft Office Suite (Word, Excel, Power Point and Access). NOTE: Experience must be fully documented on your resume and must include job title, duties, month & year starting and ending dates AND hours worked per week.

To qualify for this position at the GS-7 grade level, you must meet the following: One full year of specialized experience equivalent to the next lower grade level in Federal service (GS-6) with responsibilities close to the work of this position that has given you the particular knowledge, skills and abilities required to independently perform the duties of a Secretary (OA). Specialized experience includes working as an executive secretary or secretary to senior management performing the following: maintaining an executive appointment calendar; screening calls and office visitors; drafting a range of executive communication/correspondence utilizing Microsoft applications; scheduling diverse and complex appointments and meetings; coordinating travel and conference schedules; and working closely with executive management and support staff. NOTE: Experience must be fully documented on your resume and must include job title, duties, month & year starting and ending dates AND hours worked per week.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts, or driving an automobile, etc. No special physical demands are required to perform the work.
