This position is located in the Office of the Director at the VA Roseburg Healthcare System. The incumbent serves as the Executive Secretary, providing staff assistance, clerical and administrative assistance to the Medical Center Director on administrative matters affecting the efficient operations of the facility.
Duties

This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-8. At the GS-7 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-8. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds.
Major Duties:
Exercises control over the Director's schedule with complete authority for commitments.
Arranges meetings including agenda, space, time, and staff, assembles background material for agenda items and informs participants of topics to be discussed.
Receives and screens telephone calls and visitors for the Director.
Suspends matters requiring action by service and/or program mangers and follows up to ensure compliance.
Screens correspondence for the Director's signature to ensure clarity, completeness, and grammatical and procedural correctness.
Ensures correspondence is prepared and completed according to VA correspondence policies.
Transmits, composes, receives, and acknowledges electronic mail messages for the Director.
Serves as records liaison and is responsible for the proper creation, maintenance, and disposition of all files in the Executive office.
Perform all duties as assigned.
Work Schedule: Full-Time Employment: 8:00 am - 4:30 pm Monday - Friday

Qualifications
For GS-7:
Possess at least one (1) year of specialized experience to perform the duties of this position. To be creditable, this experience must have been gained to at least the equivalent of the next lower grade level of (GS-6) in Federal service. Specialized experience is possessing of grammar, spelling, punctuation, and formatting required to create and review correspondences, policies, reports, etc. using of Microsoft Word, Excel, PowerPoint, as well as timekeeping, control point, room scheduler, purchase card menus, etc. OR
For GS-8:
Possess at least one (1) year of specialized experience to perform the duties of this position. To be creditable, this experience must have been gained to at least the equivalent of the next lower grade level of (GS-7) in Federal service. Specialized experience is possessing of grammar, spelling, punctuation, and formatting required to create and review correspondences, policies, reports, etc. using of Microsoft Word, Excel, PowerPoint, as well as timekeeping, control point, room scheduler, purchase card menus, etc.; possessing of administrative practices and procedures common to the organization such as channels of communication, delegation of authority, routing of correspondences, filing systems, Record Control Schedule for storage and discarding of files and records.
Preferred Experience: Complex meeting agenda and minutes recording experience. Scheduling for executive and large groups. Writing experience, knowledge of spelling and grammar Interpersonal skills highly important dealing with difficult individuals multiple time per day. Experience as a secretary and demonstrates the ability to multi-task Minutes for organization Scheduling of an executive 2 years of administrative assistant/secretary.
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

Physical Requirements: The work is sedentary. Typically, the incumbent may sit to carry out the duties, however, there may be some walking, standing, bending, and carrying of light items such as books, files, lap top computer, etc. No special physical demands ae required to perform the work.
