This position is located within Commander, Navy Region Southeast, Naval Station Mayport, MWR Department. The purpose of this position is to provide a variety of administrative functions in support of the Business Office.
Duties
Incumbent may perform some or all of the following duties as assigned: Procurement Support - Provides clerical and technical support to assist purchasing agents, contracting personnel and buyers. Typical work of position covered includes: preparing, controlling and reviewing procurement documents and reports; verifying or abstracting information contained in documents and reports; contacting vendors to obtain status or orders and expedite delivery; maintaining various procurement/purchasing files; resolving a variety of shipment, payment or other discrepancies. Generating purchasing documents for superior's approval; carrying out input into computerized system on vendor and purchase order data; or performing similar work in support of purchasing programs and operations. Ensure BPA call sheets are attached to invoices. Financial Support - Reviews accounting documents for accuracy and completeness (i.e. inventories, Daily Activity Reports (DAR), invoices/receiving documents, mess requisitions, etc.). Ensures proper authorization, correct account information and all other relevant information, such as source documents, before forwarding to the Regional Business Office for action. Assists in cash counts and local audits. Assists the Central Cashier in the performance of duties as needed. May serve as POC for facilitating the distribution of Unit Allocation Funds for site tenant commands, including establishing and maintaining a quarterly account of all fund deposits and withdrawals for each command. Administrative Support - Provides limited guidance to MWR Program managers on administrative policies, procedures and practices and may represent the business office in administrative matters both within and outside the immediate office. Answers phone, route calls and provide general patron and employee information. Routes incoming mail, reports and documents. Transfers documents between offices, and personally delivers time sensitive and other routine documents directly to the Accounting Office, NAF Human Resources Office or other Navy facilities as necessary.
Requirements
- Must meet Federal Employment suitability requirements and successful completion of background investigation. Background investigations are conducted using fingerprint identification and completion of background inquiry forms.
- Must successfully pass the E-verify employment verification check. Any discrepancies must be resolved as a condition of employment.
- May be required to pass pre-employment examinations.
- A valid State driver's license is required to operate motor vehicles.
- Must have your salary sent to a financial institution of your choice by Direct Deposit/Electronic Funds Transfer.
- Selective Service Registration is required for males born after 12/31/1959.

Specialized experience directly related to the duties described above. Qualifying experience must have been equivalent to the next lower level in the normal line of progression.
Specialized experience must demonstrate the following: This position requires minimum one year of work experience that demonstrates incumbent has a practical knowledge of purchasing procedures, computerized record keeping. Must be familiar with pertinent accounting procedures, billing processes, purchasing and requisition procedures. Experience in administrative functions, to include: excellent typing skills, ability to use a personal computer with specific ability with word processing, spreadsheet, database, and presentation software. Microsoft Word, Excel, Access and PowerPoint strongly preferred.
You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
