Duties

WHAT YOU'LL BE DOING DAY TO DAY As an Staff Assistant , you will use your knowledge and experience to optimize business results and customer experience by: Serving as Staff Assistant to the Executive Officer and providing administrative and technical support for the Office of the Assistant Secretary for Legislation. This position is responsible for keeping confidential and sensitive information private. Reviewing and completing a variety of assignments for the office to ensure compliance, timeliness, and responsiveness. Assisting staff when questions arise concerning administrative procedures relating to time and attendance, and new and emerging automated systems and applications. Working with staff within the office and the agency to ensure compliance with applicable directives and providing guidance in their implementation. Performing a wide range of office support services and resolving complex problems in the areas of procurement, property, and records management. Maintaining office supply and equipment inventories; tracking and coordinating general building service calls/requests; assisting with office moves closely monitoring and ensuring property is inventoried and decaled; maintaining storage rooms, conference room scheduling, and audioconferencing services. Assisting with onboarding and offboarding processes including personnel security. Flagging issues of concern or delays and making recommendations for the course of action accordingly. Serving as a Drug-Free Federal Workplace Program point of contact for the office assuring consistency with agency procedures. Preparing materials, reports, and responses to data calls for the office as appropriate. Completing required purchase card holder trainings as determined by the agency. Submitting purchase requisitions and interagency agreements into the appropriate portals for review and approval. Providing supporting documentation for regular testing of internal controls. Providing work-in-progress status updates proactively and informing the Executive Officer when work is completed. Serving as travel point of contact for the office and taking required trainings in government travel regulations. Creating profiles and preparing travel authorizations and travel vouchers. Assisting travelers with itineraries and travel logistics resolving problems when necessary. Performing other related duties as assigned.

Qualifications

WHAT WE ARE LOOKING FOR Minimum Qualifications: A. You must have at least one year of specialized experience equivalent to the GS-09 grade level in the Federal service that includes: Clearly communicating important information and deadlines and providing administrative support for high-level agency officials.- Serving as the primary point of contact and liaison with other offices and individuals on operational matters. Preparing and maintaining various reports and documents related to timekeeping, travel, procurement, property, and records management. Regularly handling sensitive and confidential information, documents, and assignments related to organizational activities. OR B. Successful completion of a Ph.D. or equivalent degree, or at least 3 years of graduate study toward such a degree, in a field that is directly related to the duties of this position; OR C. An equivalent combination of graduate education and specialized experience as noted above, that meets 100% of the requirements.
