About the Position: Serves as Conference and Special Events Operations Specialist within the Conference Center of the Americas (CCA), U.S. Southern Command (USSOUTHCOM).

Duties

Serve as subject-matter expert within organization for scheduling of conferences, ceremonies, training, and other events. Manage a master schedule of events for the conference facility. Coordinate directly with high-ranking senior officers/civilian staffs to provide logistical and administrative support to visiting Distinguished Visitors (DV) based on knowledge of applicable regulations and established guidelines. Advise on logistical support for catering, transportation, and security as required. Determine conference planning and scheduling efficiency and effectiveness by analyzing participant’s critiques collected after each activity. Provide overall briefings of conference operations to support staff. Produce a wide range of documents that often require complex formats, such as graphic presentations, spreadsheets or databases as well as word processing.

Requirements

  • Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
  • This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Secret security clearance or access for the duration of employment. A background investigation and credit check are required.
  • This position has a Temporary Duty (TDY) or business travel requirement of 10% of the time.
  • Flexible work schedule is required, frequently involving nights, weekends, and holidays. During off-site conferences and other special events, may be required to work 12 hours rotation shifts.

Specialized Experience: One year of specialized experience which includes in protocol matters to include national and international rules, procedures, and forms prescribing traditional and formal diplomatic customs, courtesies and etiquette for distinguished visitors (military and civilian, U.S. and foreign, including government officials, high ranking military officers, corporate leaders, and heads of state); planning and coordinating conferences and special events (which may include ceremonies, social functions, and receptions) to ensure appropriateness of all elements of planned functions considering the status and cultural/religious backgrounds of those involved; events management/conference planning with successful experience in developing and administering a master schedule of events for conference facility; planning of events, focusing on forecasting, resolving scheduling conflicts and efficient space utilization; establishing and maintaining effective and cooperative work relationships with representatives of military, civilian, and foreign organizations to obtain cooperation in conference and special event planning functions; and initiating, managing, and bringing to completion projects that demand varying degrees of involvement; and using a variety of applications and software to input/edit correspondence or reports. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-11). You will be evaluated on the basis of your level of competency in the following areas: Client OrientationOrganizational AwarenessPlanning and EvaluatingTechnology Application Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-11).
