The primary purpose of this position is: to manage the administrative programs and processes of the organization and serve as a liaison with force support/manpower/personnel offices and key program managers; additionally trains traditional reservists in all tasks of the position.

Duties

Manages execution of Publications and Forms Programs and all By-Law Programs. Performs work regarding planning and organizing all administrative activities and processes for the organization. Performs other clerical and administrative work in support of the office/organization. Manages, prepares and maintains documentation concerning the administrative orders program. Monitors and directs the control of incoming and outgoing correspondence. Serves as the resident subject matter expert for all mandated administrative support programs. Integrates a variety of software to produce final products.

  • Incumbent may be required to fly in military and/or commercial aircraft to perform temporary duty (TDY) assignments.
  • Incumbent may be required to work weekends during the unit training assembly (UTA) weekend.
  • The incumbent must have the ability to type a minimum of 40 WPM.
  • Travel and Relocation expenses WILL NOT be paid.

Qualifications

In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED EXPERIENCE: Applicants must have at least one year of specialized experience equivalent to the GS-06 grade level in the Federal service serving as the primary point of contact for all administrative support programs such defense travel system, drug demand reduction, health care, fitness, purchase card, safety, security, supply, civilian timecard and unit recognition programs; overall administrative and activity room operations; evaluating program efficiency to implement processes to improve programs; assessing manpower authorizations and utilization; ensuring all actions are accomplished and if problems exist, identify other alternatives as needed; independently noting and following-up on commitments made at meetings/conferences; using correct grammar, spelling, punctuation, capitalization, and format to prepare and edit written correspondences and reports; using office automation to produce a wide range of documents that often require complex formats, such as graphics or tables within text, to edit and reformat electronic drafts, and to update and revise existing databases or spreadsheets. OR EDUCATION: Successfully completed 1 year of graduated education that is directly related to the work of the position. 18 semester hours or 27 quarter hours should be considered as satisfying the 1 year of full-time study requirement. NOTE: You must submit a copy of transcripts. OR COMBINATION OF EXPERIENCE AND EDUCATION: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. NOTE: You must submit a copy of transcripts. FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-06 level is required to meet the time-in-grade requirements for the GS-07 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: 1. Knowledge of common clerical practices and office routines.Knowledge of reserve programs and skill in scheduling for requirements. Knowledge of civilian time keeping program, procedures, and instructions. 2. Ability to communicate effectively orally and in writing, using tact and courtesy. Knowledge of basic rules of grammar, spelling, capitalization, and punctuation, and of standard abbreviations. 3. Knowledge of format and clerical procedures to arrange a variety of material from different sources. 4. Skill in integrating a variety of types of software to generate products for a single purpose. Knowledge of official orders preparation instructions and procedures. 5. Skill in assessing personnel resource requirements. Knowledge of personnel documentation and reporting procedures. Knowledge of administrative and personnel processes. 6. Knowledge of official orders preparation instructions and procedures. Knowledge of processes used in the ordering and distribution of forms. Thorough knowledge of the mission, functions and policies of the organization. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position.
