This position is under the Sterile Processing Services (SPS) Section of Nursing Services, under the Nurse Executive Services. The incumbent participates actively in the management of the SPS Section as the Program Support Assistant to the Chief and Assistant Chief of Sterile Processing Services providing analytical and evaluative support to the SPS Department.
Duties
Duties may include:
Financial analysis (calculations of obligations as compared to expenditures), trend tracking and reporting, accurate evaluation of results and enhancement of procedures to meet workload demands and program goals.
Daily scope tracking data, instrumentation purchase agreements and pay for performance instrument repair contracts.
Developing, interpreting, planning and applying policy to meet the program metrics and budgets by developing data collection routines and reports
Apply standard work and business rules to policies and procedures to ensure compliance with federal law and VA regulation.
Incumbent will develop electronic data management systems based collections and analysis needed to maintain critical operating information of the Service Line.
Responsible for data management for the service line.
Maintains consistent communication with clinical service line personnel at all levels.
Supports administrative activities utilizing various complex databases and computer applications including spreadsheets, databases, work and presentations.
Mentors and trains supervisors and administrative support staff in all SPS departments in the use of data management techniques.
Responsible for initiation and completion of frequent site audits in SPS proper, in all clinical procedure areas through-out the hospital where reusable medical equipment is used.
Develops and approves methods for automating reports using a variety of software packages and applying judgement in selecting the most appropriate software type; and modifies the existing tracking system to correct problems or establishes a database management system to improve tracking methods.
Serves as the Record Management Liaison for the SPS Service Line.
Schedules appointments, coordinates meetings and schedules conferences. Screens all calls and visitors, answering most questions and completing most business involving established policy or routine matters without referring people to the supervisor.
Serves as the ADPAC for the entire SPS Service Line. In this capacity, the employee creates and manages computer access accounts for employees. These employees have different access requirements depending on their job assignments.
Functions as computer programs primary point of contact to assist with employee training and use issues.
Formulate electronic reports, documents ad drawings using a variety of software products that assist the SPS Leadership in planning and tracking activities
Communicates and coordinates activities between SPS and facility departments as well as to other PSL's within the hospital and within VISN 23.
Coordinates special studies/projects as delegated by the department leaders to resolve process problems identified by management.
Performs administrative support duties by performing general office work and data management.
Organizes meetings as necessary, creating invites in Outlook and reserving rooms, preparing agendas and needed equipment.
Timekeeping and travel requirements. Provides technical assistance to staff. Performs a wide variety of administrative tasks associated with office work, Censitrac, and Outlook.
Responsible for the management of the SPS SharePoint site. Ensuring all Instructions for Use (IFUs) and Standard Operating Procedures SOPs) are up to date and accessible.
Tracks/assures accurate and timely dissemination of SPS policies, plans, directives, and initiatives.
Prepares/maintain all data for monthly and quarterly reports which go to the VISN, VACO, Nursing Executive and the SPS Chief.
Tracking of RME through the acquiring, dispensing, repair, and refurbish cycles, i.e. scope tracking, instrumentation repair logs, and quote request.
Responsible for the coordination of the personnel paperwork and tracking for the department.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; and providing information and customer service.
