The U.S. AI Safety Institute, housed within the National Institute of Standards and Technology (NIST), is advancing the science, practice, and adoption of AI safety across the spectrum of risks, including those to national security, public safety, and individual rights. Serves as the primary Admin Support Assistant for the Artificial Intelligence Safety Institute (AISI) leadership team. Be part of standing up an exciting new organization.
Duties
The incumbent will serve as an Administrative Specialist to the NIST/AISI Senior Leadership team and independently provide guidance and assistance on a full range of administrative duties and responsibilities to ensure an efficient and effectively run organization. Duties of the position include, but are not limited to:
- calendaring, procurement, time and attendance, travel, and NAIS
- responsible for preparing written documents such as controlled correspondence, spreadsheets, memoranda, reports, presentations, briefing packages, and other materials for use by management
- work with the Administrative Officer, providing support for the submission and tracking of personnel actions, contracts, and financial tracking for divisions within the OU
- interpret and analyze administrative guidance and provide guidance to staff on work assignments, objectives, priorities, and deadlines
- Property Management
- Event and meeting assistance

Qualifications
To Qualify, applicants must possess one year (52 weeks) of specialized experience equivalent to at least the GS-8 (ZS-IV at NIST) level.Specialized experience is defined as:
-Providing administrative support to senior leadership, including managing calendars, preparing written documents and correspondence, and acting as a liaison between leadership and internal/external partners
-Managing office support procedures, including coordinating and executing contract submission, invoice payments, and maintaining systematic filing and record-keeping systems
-Providing administrative support in HR and and financial areas, such as tracking and reconciling financial expenses, updating HR records, and assisting with the analysis of financial expenditures and cost projections
