Employee will serve as a Secretary (OA) to the Associate Director, Resources (ADR) and will provide administrative/secretarial support to the ADR and Executive Assistant leadership, and administrative, technical, and clinical staff located at the Robley Rex Veterans Healthcare Administration in Louisville, KY.

Duties

This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-8. At the GS-7 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-8. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher-level work, and availability of funds.
Duties will include, but may not be limited to the following:
Receives telephone calls and visitors, screens calls, and handles problems of a procedural and general nature. Contacts will include administrative personnel, medical center staff members, and patients, families. Approximately 60% of the time, resolves issues independently without further referral to supervisors.
Prepares responses to letters received for the ADR, many of which are complimentary in nature as well as problem solving.
Maintains leadership calendars, schedules appointments and conferences, prepares agendum, takes notes and transcribes minutes, and follows up on suspense items to assure timely completion.
Prepares numerous memoranda and presents these in final format, establishes suspense files noting date forwarded to various services for concurrence, including leadership approval.
Reviews outgoing correspondence and reports ensuring proper format, mathematical and grammatical content accuracy, and ascertains that necessary coordination of facts have been completed based on policies.
Makes travel arrangements using automated travel management program, includes plans schedule of visits, hotel and car reservations, notifies organizations and officials to be visited, and submits travel vouchers.
Uses office equipment and computer and Microsoft Word software programs to prepare a wide variety of correspondence and reports. Uses various software packages to access, upload, download, and analyze information in various data systems maintained within and outside the medical center.
Performs other duties, as necessary.
Work Schedule: Full-Time, Monday-Friday, 8:00am - 4:30pm

Qualifications
GS-7 SPECIALIZED EXPERIENCE: Requires one full year of specialized experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level in the Federal service. Specialized experience includes: maintaining calendars, scheduling appointments and conferences, preparing agendum, taking meeting minutes, making travel arrangements and reservations; receiving and screening telephone calls and visitors, and preparing a wide variety of correspondence and reports utilizing various computer software programs, e.g., Microsoft Word, Excel, Electronic Mail; and timekeeping.
GS-8 SPECIALIZED EXPERIENCE: Requires one full year of specialized experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level in the Federal service. Specialized experience includes performing the duties described above at the lower grade, but for an Executive/Leadership office planning the day-to-day administrative activities; and compiling information to analyze, evaluate, and develop recommendations on improving the effectiveness of work methods and procedures.
AND
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

PHYSICAL REQUIREMENTS: The work is mainly sedentary. Some physical exertion may occasionally be necessary, such as bending, stooping, stretching, and lifting moderately heavy objects. Manual dexterity is required in operation of a calculator and other office machines.
