This position is located within the Associate Director, Resources Office of the Robley Rex VA Medical Center. The incumbent of this position provides secretarial and administrative assistance to the Associate Director, Resources Office. The incumbent becomes a member of high level secretaries.
Duties
Duties include but are not limited to:
Receiving telephone calls and visitors, screening calls
Handling problems of a procedural and general nature, tactfully referring calls and concerns to appropriate areas of the medical center, and in approximately 60 percent of the time resolving these issues independently.
Assists administrative personnel by not only screening and obtaining information from patients, families, medical staff members and visitors, but also resolves many of these concerns without further referral to supervisors
Independently prepares responses to letters received in the Associate Director, Resources Office, many of which are complimentary in nature as well as problem solving
The incumbent has the responsibility for maintaining the calendar for the Associate Director, Resources Office and the Executive Assistant, and schedules appointments and conferences based upon knowledge of current issues of importance and workload
Maintains files of information in an orderly and approved format, and is responsible for retrieving material as needed
Responsible for providing pertinent background information and maintaining suspense files for timely response
Typing various forms of correspondence which include replies to congressional inquiries, White House correspondence, VA Headquarters referrals, letters from patients, visitors, vendors, etc.
Prepares numerous medical center memoranda and presents these in final format, establishes suspense files noting dates forwarded to various services for concurrence, as well as date forwarded to Medical Center Director for approval
Types policy memoranda assuring that they are in appropriate format and that they comply with VA Regulations and other references
Takes notes and transcribes minutes exercising independent judgment to determine most important aspects of discussions and meetings and when to appropriately delete or clarify issues
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday-Friday 8:00 am - 4:30 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/11/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

To qualify for this position at the GS-07 level:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: ability to sort and file correspondence; provide excellent customer service to internal and external customers; work with other team members to collaborate; perform clerical and administrative functions in an office setting.
To qualify for this position at the GS-8 level:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience in advising on established procedures; compile information for use in reports; proficient in the use of Microsoft Office; following up on suspense's.
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
Preferred Experience: Providing excellent customer service; Has worked with leadership.

Physical Requirements: The work is mainly sedentary. Some physical exertion may occasionally be necessary, such as bending, stooping, stretching, and lifting moderately heavy objects.
