This position is located in the Environmental Management Service (EMS) at the Central Virginia VA Healthcare System in Richmond, VA. The primary purpose of this position is to support the Chief, EMS, Deputy Chief and Assistant Chief, EMS, Housekeeping Aid Supervisors, team members and staff by performing a variety of clerical, administrative, timekeeping and office support tasks.
Duties

Major Duties:
Coordinates and maintains office calendar.
Schedules and/or coordinates and records training, appointments, meetings, conferences, and/or workshops, and/or associated travel arrangements/processes for the supervisor and staff members.
Informs supervisor of conflicts, reschedules appointments when it is clear that the supervisor will not be able to make all commitments, contacts other people to attend meetings in lieu of supervisor when necessary, and makes calendar available to supervisor and others to minimize conflicts in scheduling
Takes minutes of staff meetings typical assignment of various minutes to include Environment of Care (EOC) and associated sub-committees, staff meetings, etc. as assigned, and compiles them into final form.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
Performs timekeeping.
Create work orders.
Composes, reviews, and edits a variety of letters, reports, and correspondence for accuracy and completeness; prepares public presentation outlines, graphics and minutes.
Typing is essential to generate and complete specific working documents, forms, spreadsheets, general databases, and other related computer products applications and software.
Creates, processes, and maintains attendance and leave records.
Handles payroll matters.
Provides technical advice and assistance on pay and leave matters.
Responds to questions from employees concerning the application of pay, leave, and benefit policies and procedures.
Provides orientation to a Time and Attendance system to all new alternate timekeepers, and new supervisors.
Posts employees' daily work hours to include annual leave (AL), sick leave (SL) and administrative absence (AA) in order to maintain and update employees' daily postings.
Provides general administrative and clerical support such as responding to telephone inquiries and providing requested information about the office and other criteria as applicable.
Notes and follows-up on commitments made at meetings and conferences by staff members.
Performs other related duties as assigned.
Work Schedule: Monday-Friday, 8:00am to 4:30pm

Qualifications
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements described below, you must be able to type at least 40 words per minute.
EXPERIENCE AND/OR EDUCATION REQUIREMENT:
EXPERIENCE: At least one year of specialized experience that equipped you with the particular knowledge, skills and abilities to perform successfully the duties of this position, and that is typically in or related to the work of this position? To be creditable, this experience must have been equivalent to at least the GS-4 grade level in the Federal Service. Specialized experience is experience performing a wide range of administrative support duties, i.e., typing correspondence, timekeeping, managing a calendar, scheduling appointments and/or meetings, taking meeting minutes, etc.

EDUCATION: Successful completion of four years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. NOTE: Transcript must be submitted with application. COMBINATION: An equivalent combination of successfully completed post-high school education and specialized experience as described above to meet the total qualification requirements at the GS-5 level. Only education in excess of the first 60 semester hours (i.e., beyond the second year) of study leading to a bachelor's degree is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. NOTE: Transcript must be submitted with application. Education cannot be credited without documentation.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: Physical demands are moderate and include activities that are performed in an office environment such as some walking, standing, bending, climbing stairs, and carrying and/or lifting of light items such as papers and books. No special physical demands are required to perform the work.
